Responsibilities
- Conduct patient intake and pre-registration by collecting accurate personal, insurance, and medical history information using electronic health records (EHR) systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or similar platforms
- Verify insurance coverage details, including Medicare and health insurance policies, ensuring compliance with HIPAA and clinical confidentiality policies
- Review and update medical records and documentation to maintain accuracy and completeness for billing and care planning purposes
- Assist patients with appointment scheduling, appointment confirmations, and answering general inquiries via phone or in person while maintaining professional phone etiquette
- Collaborate with clinical staff to facilitate seamless patient flow and care plan coordination
- Manage electronic health records (EHR) management tasks including filing, data entry, and maintaining organized medical records
- Support billing processes by understanding CPT coding, ICD-9/10 coding standards, and medical billing procedures to ensure proper documentation for reimbursement
Experience
- Prior experience in medical office administration or clinic settings is highly preferred
- Strong knowledge of EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks
- Familiarity with health insurance processes including Medicare and private insurance verification
- Excellent customer service skills with the ability to communicate effectively with diverse patient populations; bilingual abilities are a plus
- Proficiency in Microsoft Office applications including Word and Excel for documentation review and administrative support tasks
- Demonstrated understanding of medical terminology, CPT coding, ICD coding standards, and HIPAA compliance regulations
- Experience handling phone communication with professionalism and courtesy in a busy healthcare environment
- Strong clerical skills such as typing (including 10-key), filing, data entry, and maintaining organized medical records
- Ability to work efficiently under pressure while maintaining attention to detail in a fast-paced clinic setting
