Job Description
The Service Coordinator (Back-End Operations) is responsible for managing the administrative and financial closeout of service work orders. This role ensures all completed service jobs are accurately documented, properly lined up, and fully prepared for invoicing by the accounting team. The ideal candidate is detail-oriented, process-driven, and highly organized, with a strong focus on accuracy and efficiency.
Responsibilities
- Review completed service work orders for accuracy, completeness, and required documentation.
- Verify labor hours, materials, and service details are properly recorded and aligned with company standards.
- Close out service orders in internal systems in a timely manner
- Ensure all required supporting documents (photos, reports, etc. ) are complete.
- Follow up with 1099s for their completed work orders and invoices.
- Collaborate with field technicians and regional managers to resolve discrepancies or missing information.
- Prepare and submit finalized work orders to the accounting team for invoicing.
- Maintain accurate records of closed and pending service jobs.
- Identify and flag billing issues, inconsistencies, or delays.
- Ensure processes and procedures are followed to meet clients SLA’s

Qualifications

- Strong computer skills
- Ability to prioritize and manage multiple projects simultaneously
- Detail-oriented and accurate in data entry
- Customer service-oriented approach
- Ability to maintain composure in a fast-paced environment
- Dispatch Experience
- Salesforce Experience (preferred)
- Waste Industry Experience Preferred
- Dispatch Service Experience Preferred
- Knowledge of parts ie. Compactor/Baler/Hydraulic
Key Performance Indicators (KPIs)
- Timeliness of work order closure
- Accuracy and completeness of documentation
- Reduction in billing errors or rework
- Volume of work orders processed
- Turnaround time from job completion to invoice readiness
