Job Summary
A prominent law firm is seeking an experienced Client Accounting Coordinator for its Washington, DC office. This position will support a sophisticated billing portfolio associated with the firm’s New York practice.
The ideal candidate will have extensive law firm billing experience, including responsibility for complex billing arrangements and the full monthly billing cycle. This highly visible role requires regular interaction with attorneys, internal accounting teams, and external clients.
Key Responsibilities
- Manage the complete monthly billing cycle for an assigned portfolio of attorneys and clients.
- Prepare, edit, proofread, finalize, and submit client invoices.
- Handle complex billing arrangements, including multi-payor, fixed-fee, and split billing matters.
- Review billing entries, task codes, discounts, and other invoice details for accuracy and compliance.
- Coordinate with the e-billing team to ensure timely and accurate electronic submissions.
- Obtain and document approvals for deferrals, write-offs, and time transfers.
- Serve as a primary contact for client billing questions and concerns.
- Research billing information and provide detailed analysis to attorneys and other stakeholders.
- Resolve discrepancies while maintaining ownership of issues through completion.
- Maintain accurate records of client billing guidelines and communicate changes when necessary.
- Prepare and review monthly billing reports.
- Assist colleagues during peak billing periods and provide coverage as needed.
- Identify opportunities to improve billing processes and workflows.
- Mentor junior team members and share billing best practices.
Required Qualifications
- At least five years of hands-on billing experience in a law firm.
- Strong experience managing complex billing matters.
- At least five years of experience using Elite 3E, Elite Enterprise, or Aderant.
- Elite 3E experience is strongly preferred, ideally including at least two years of regular use.
- Intermediate Excel proficiency, including formulas and pivot tables.
- Experience managing the full billing cycle independently.
- Strong written and verbal communication skills.
- Ability to communicate professionally with attorneys and clients.
- Excellent attention to detail, organization, and follow-through.
- Ability to manage competing priorities and meet firm billing deadlines.
- Demonstrated employment stability, preferably including at least three years in prior positions.
- Ability to work from the Washington, DC office at least three days per week.
Preferred Qualifications
- Experience supporting complex partner or client portfolios within a large law firm.
- Experience mentoring or providing guidance to junior billing professionals.
- Interest in growing into a role with increased team support and leadership responsibilities.
Pay: $105,000.00 - $110,000.00 per year
