We are looking for a dependable, organized, and positive Client & Operations Coordinator to join our team. This is a part-time position with the opportunity to grow into an Operations Manager role for the right person.
This role is ideal for someone who enjoys helping people, staying organized, solving problems, and being part of a growing company where their contributions truly matter.
Position Overview
The Client & Operations Coordinator will play an important role in supporting our clients, field employees, and daily business operations.
This person will help manage customer communication, Jobber administration, scheduling support, billing processes, attendance tracking, team communication, employee onboarding, and general office operations.
This is a primarily remote position, with occasional in-person responsibilities at our landscape yard in Boise, primarily during morning crew meetings, employee onboarding, or other operational needs.
Our ideal candidate is someone with a positive attitude, strong attention to detail, excellent communication skills, and a willingness to learn. We believe technical skills can be taught, but reliability, professionalism, ownership, and a great attitude are much harder to teach.
Primary Responsibilities:
- Own client communication and customer experience.
- Become the Jobber administrator and ensure accurate information.
- Coordinate scheduling and communication between clients and crews.
- Support field employees by making sure they have the information needed to succeed.
- Maintain attendance and team communication.
Specifics about Role:
Client Management & Customer Communication
Serve as a primary point of contact for residential, commercial, and HOA clients.

Respond to customer phone calls, emails, and messages in a timely and professional manner.

Assist with new client onboarding, including welcome communications and account setup.

Prepare quotes and follow up with clients until accepted or declined.

Maintain professional communication with clients and help resolve concerns.

Know when issues can be handled independently and when they should be escalated to management.

Encourage client feedback and reviews.

Jobber & Operations Management
Become highly proficient in Jobber, our primary scheduling and client management software.

Maintain accurate client information, schedules, work orders, and job details.

Assist with scheduling and routing to improve efficiency.

Review completed jobs for accurate notes, photos, time tracking, and follow-up needs.

Track items requiring additional communication or scheduling.

Help field employees properly utilize Jobber and provide support when questions arise.

Continue learning Jobber capabilities and identify ways to improve company processes.

Assist in creating and improving systems that help Banana Landscape operate more efficiently.

Billing & Administrative Support
Assist with customer invoicing and billing.

Create invoices for one-time jobs.

Post customer payments in Jobber.

Assist with past-due account follow-up.

Help resolve billing questions, payment issues, and account updates.

Track deposits and payment information for upcoming work.

Maintain organized records and documentation.

Team Support & Communication
Track employee attendance and time-off requests.

Maintain accurate employee records related to attendance and PTO.

Communicate important updates and information with field employees.
-
Help ensure crews have the information needed to complete their work successfully.

Assist with employee onboarding and training coordination.

Support team morale through employee recognition, birthdays, anniversaries, and appreciation efforts.

Provide feedback when team members are not following company processes or Jobber expectations.

Office & Business Operations
Assist with maintaining organized company records.

Support insurance documentation, vendor records, subcontractor information, and compliance tracking.

Help manage company equipment records, uniforms, keys, and operational items.

Assist with recruiting, interviews, and new hire onboarding.

Support leadership with special projects and process improvement initiatives.

Identify opportunities to improve efficiency, reduce costs, and help the company run more effectively.

Qualifications
2+ years of administrative, customer service, operations, or office experience preferred.

- Experience using Jobber is strongly preferred.
Experience working in a service-based business (landscaping, construction, HVAC, plumbing, cleaning, property management, etc.) is a plus.
