About the Position:
We are looking for a motivated, organized, and personable Operations and Growth Coordinator who enjoys helping a business move forward. This person will play a central role in turning leadership priorities into practical action, keeping important initiatives moving, and helping new processes become consistent parts of the firm’s day-to-day operations.
The ideal candidate is someone who naturally takes ownership, follows through, and brings people together around a shared goal. They should be comfortable working independently within established priorities, making thoughtful day-to-day decisions, and recognizing when leadership input is needed. This role is especially well suited for someone who enjoys improving how an organization works and takes pride in helping change become lasting progress.
This is an administrative and operations position, not a legal assistant or paralegal role. It does not initially include formal supervision of employees, but it does require leadership through organization, communication, encouragement, and accountability. The right person will be both detail-oriented and people-oriented, with the judgment, persistence, and energy to help projects succeed and support the firm’s continued growth.
Key Responsibilities:
- Turn leadership decisions into clear plans, timelines, assignments, and repeatable processes
- Coordinate operational and growth projects from planning through completion
- Track action items, deadlines, and recurring responsibilities and follow up when work is falling behind
- Help staff stay organized, understand priorities, and consistently follow approved processes
- Coordinate marketing initiatives, including work with podcast, website, photography, and other outside contractors
- Support professional advisor and referral relationships by tracking outreach, meetings, referrals, events, and follow-up
- Help develop and coordinate client satisfaction, client education, and client appreciation initiatives
- Maintain accurate operational, financial, referral, marketing, and performance data
- Coordinate bookkeeping, payroll, benefits, PTO, personnel records, onboarding, and offboarding
- Maintain internal procedures, templates, training materials, and shared operational resources
- Coordinate vendors, office supplies, inventory, technology needs, and operations between the Seattle and Bellevue offices
- Identify workflow problems, process drift, and stalled projects and bring practical recommendations to leadership
- Prepare progress reports, meeting agendas, and summaries of outstanding action items
- Exercise sound day-to-day judgment while recognizing when leadership approval is needed
Qualifications:
- Bachelor’s degree or equivalent professional experience required
- At least five years of relevant experience in operations, administration, project coordination, executive support, business development, or a related field
- Experience in a law firm, professional services firm, or other professional office environment preferred
- Strong interpersonal skills and the ability to build trust, encourage cooperation, and communicate effectively with different personalities
- Excellent judgment, initiative, and follow-through
- Highly organized, dependable, and attentive to detail
- Comfortable working independently while knowing when to seek leadership input
- Strong written and verbal communication skills
- Professional discretion when handling confidential financial, personnel, and internal firm information
- Tech-savvy and able to learn and adapt to new software and systems quickly
- Proficient with Microsoft Office, with particularly strong skills in Excel
- Experience with bookkeeping, payroll, benefits administration, marketing coordination, or vendor management is helpful
- Ability to work from both our Seattle and Bellevue offices, with time divided between the two locations based on firm needs

Position Details
Location: The position will support both offices, with a generally even schedule between Seattle and Bellevue and some flexibility based on operational needs.
Work Schedule: Monday–Friday, during standard business hours (office is open to clients from 9:00 a.m. to 5:00 p.m.)
Employment Type: In-person and Full-time
Compensation: Hourly
Pay Range: $75,000 - $95,000
Classification: Hourly (non-exempt)
Start Date:Ideally by August 3, 2026, or sooner
Additional Requirements: Must be authorized to work in the U.S.; background check may be required
