Position Overview
The Office Administrator plays a central role in keeping our Orlando location operating efficiently and professionally.
This position supports the daily flow of the office by overseeing administrative processes, assisting members and practitioners, and ensuring organizational excellence throughout the facility. The ideal candidate is proactive, dependable, and takes pride in creating a polished, well-run environment.
This is far more than a traditional reception or front-desk position. We’re seeking someone who is resourceful, organized, and eager to take ownership of operations.
Core Responsibilities Office & Administrative Management
- Oversee day-to-day office operations to maintain an organized and professional atmosphere
- Maintain accurate records, documentation, and internal systems
- Assist with scheduling, appointment confirmations, and administrative coordination
- Respond to calls, emails, and internal requests promptly and professionally
- Manage office inventory and supplies while ensuring the workspace remains clean and polished
Member Experience
- Serve as a professional and welcoming point of contact for members
- Ensure all front-of-house interactions reflect ND Wellness’ elevated standards
- Answer basic member questions and direct requests appropriately
- Support member satisfaction and retention through clear communication and dependable follow-through
Collaboration Across Teams
- Partner closely with the Membership Director to deliver a seamless member experience
- Coordinate scheduling, follow-ups, communication, and member support needs
- Help ensure smooth communication between operations and membership teams
- Identify opportunities to improve administrative systems that enhance member experience and retention
Leadership & Team Support
- Provide administrative assistance to leadership as needed
- Help manage internal tasks, timelines, and operational processes
- Assist with onboarding coordination for new hires when necessary
- Maintain clear communication with practitioners and team members to support efficient daily operations

Qualifications
- 2+ years of experience in office administration, operations, or a related role
- Strong organizational skills and attention to detail
- Excellent written and verbal communication abilities
- Comfortable using scheduling software, office systems, and basic reporting tools
- Professional, polished, and member-focused approach
- Ability to multitask, adapt, and remain composed in a fast-paced setting
- Self-motivated with a strong sense of ownership and accountability
Experience in wellness, healthcare, hospitality, or luxury service environments is highly preferred.
