Position Summary
The Workers’ Compensation Coordinator is responsible for managing all aspects of workers’ compensation cases within our urgent care clinic. This includes coordinating patient care for work-related injuries, ensuring compliance with state and federal workers’ compensation regulations, communicating with employers and insurance carriers, and supporting smooth case management from initial visit to claim closure.
The ideal candidate is organized, detail-oriented, and experienced in occupational medicine or workers’ compensation processes, with a strong understanding of medical documentation and patient confidentiality.
Key Responsibilities
- Serve as the primary point of contact for all workers’ compensation cases, including injured employees, employers, and insurance representatives.
- Review and process new injury cases, verifying insurance coverage and claim information.
- Coordinate medical evaluations, follow-up visits, referrals, diagnostic testing, and return-to-work documentation.
- Prepare and submit required workers’ compensation reports and documentation accurately and timely.
- Ensure compliance with California Division of Workers’ Compensation (DWC) and OSHA regulations.
- Maintain detailed and confidential patient and claim records within the EMR system.
- Communicate effectively with providers, adjusters, case managers, and employer HR departments to ensure efficient claim management.
- Track case progress, monitor restrictions, and update employers on work status.
- Assist with billing inquiries and resolve discrepancies related to workers’ compensation claims.
- Support clinic staff with education and process improvement related to occupational medicine workflows.
Qualifications
Required:
- High school diploma or equivalent (associate or bachelor’s degree preferred).
- Minimum 5 years of experience in workers’ compensation, occupational medicine, or medical office coordination.
- Knowledge of California workers’ compensation laws, medical terminology, and HIPAA compliance.
- Proficiency in EMR systems and Microsoft Office Suite.
- Excellent communication, multitasking, and organizational skills.
Preferred:
- Experience working in an urgent care or occupational health setting.
- Certification in Workers’ Compensation (CWCP) or related credential.
- Bilingual (English/Spanish) preferred but not required.
