About the Role
The Executive Assistant serves as a trusted partner to the CEO by creating structure, protecting priorities, and ensuring day-to-day operations run smoothly.
This role is ideal for someone who enjoys bringing order to busy schedules, anticipating needs, and building strong relationships across every department. Success comes from exceptional execution, thoughtful communication, and consistent follow-through.
You'll help keep teams aligned by coordinating communication, honoring commitments, and ensuring important details never fall through the cracks. The people who thrive in this role are naturally helpful, dependable, and take pride in making others more effective.
While every week is different, we believe great organization creates predictability. Our goal is to proactively plan, communicate clearly, and minimize unnecessary last-minute fire drills whenever possible.
What You'll DoCalendar & Executive Support
- Own and optimize the CEO's calendar, balancing strategic priorities with day-to-day needs
- Anticipate scheduling conflicts and proactively create solutions
- Coordinate domestic and occasional international travel, including flights, hotels, transportation, and detailed itineraries
- Prepare daily briefing materials so the CEO enters every meeting informed and prepared
- Manage inbound emails, calls, and requests with professionalism, urgency, and sound judgment
Leadership & Communication
- Coordinate leadership meetings, offsites, and planning sessions
- Prepare agendas, meeting materials, and executive presentations
- Capture meeting notes and track action items to ensure commitments are completed
- Serve as a communication hub between the CEO and department leaders
- Prepare reports, presentations, and documents with accuracy and a polished, professional finish
Cross-Functional Coordination
- Track company initiatives, projects, and deadlines across design, production, sales, and fulfillment
- Keep leaders informed and aligned through consistent communication and follow-up
- Support strategic initiatives by coordinating details, monitoring progress, and identifying opportunities for improved efficiency
- Handle confidential information with the highest level of discretion and integrity
Client & Partner Relations
- Serve as a polished first point of contact for clients, athletic programs, schools, vendors, suppliers, and business partners
- Coordinate executive communication and relationship management
- Assist with planning and preparation for trade shows, championship presentations, client meetings, and industry events
Executive Office Administration
- Process expense reports and executive office purchases
- Maintain organized contracts, files, and executive records
- Support onboarding and administrative needs for executive team members
- Embrace technology and AI tools that improve organization, communication, and efficiency while keeping people at the center of every process.

- The CEO's calendar, inbox, and communication rhythms operate smoothly and consistently.
- Leadership meetings are organized, documented, and followed through to completion.
- Department leaders know they can rely on you for timely communication and support.

- Important details don't slip through the cracks because you've created reliable systems and processes.

Qualifications
- 2+ years of experience
- Outstanding organizational and time management skills
- Strong written and verbal communication abilities
- Excellent attention to detail and follow-through
- Proven ability to handle confidential information with discretion
- Experience with Google Workspace, and modern productivity software
- Comfortable learning new technology and AI tools to improve efficiency
- Self-motivated with a positive attitude and a willingness to jump in wherever needed
