We are seeking a highly organized, professional, and proactive Executive Assistant to support senior leadership in a fast-paced and mission-driven environment.
Position Summary
The Executive Assistant will provide high-level administrative and operational support to company executives. This role requires exceptional organizational skills, discretion, professionalism, and the ability to manage multiple priorities while maintaining confidentiality.
Key Responsibilities
- Manage executive calendars, meetings, travel arrangements, and scheduling
- Coordinate internal and external communications on behalf of leadership
- Prepare reports, presentations, spreadsheets, and meeting materials
- Organize company events, executive meetings, and conference calls
- Maintain confidential records and sensitive information with discretion
- Assist with vendor coordination, office management, and administrative operations
- Track deadlines, follow-ups, and project deliverables
- Support recruiting, onboarding, and HR-related administrative tasks when needed
- Handle correspondence, document filing, and data entry accurately
- Serve as a professional point of contact for clients, partners, and government stakeholders
Qualifications
- 3+ years of Executive Assistant or high-level administrative experience preferred
- Strong communication and interpersonal skills
- Excellent time management and multitasking abilities
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Ability to maintain confidentiality and professionalism at all times
- Experience in manufacturing, defense, military, or government contracting environments is a plus
- Strong problem-solving skills and attention to detail
- Associate’s or Bachelor’s degree preferred
Preferred Skills
- Familiarity with scheduling software and project management tools
- Experience supporting C-level executives
- Ability to work independently in a fast-paced environment
- Professional written and verbal communication skills
