We are seeking a dedicated Event Assistant to join our team and support the seamless delivery of our world-class events.
Position Summary
The part-time Event Assistant plays a vital role in ensuring every event at Planterra is executed to perfection. Reporting to the Manager on Duty (MOD), this position supports event setup, vendor coordination, inventory management, and on-site client service. This role requires flexibility, physical stamina, a keen eye for detail, and a passion for delivering exceptional hospitality.
Schedule & Hours
This is a part-time position with a typical weekly schedule. Hours vary based on the event calendar:
- Wednesday: 10:00 AM – 12:00 PM (hours may vary) — Work from home
- Thursday: 12:00 PM – 7:00 PM (hours may vary) — Inventory, and event preparation
- Friday – Sunday: Hours depend on ceremony start — Event setup
Essential Duties & Responsibilities
Wednesday — Weekly Meeting
- Call into weekly event planning meetings to stay aligned on upcoming events and priorities
Thursday — Vendor & Inventory Preparation
- Properly store specialty-ordered items in their designated locations within the cooler and/or liquor room.
- Prep glassware for Friday. Stage in kitchen.
- Conduct a full review of the beverage cooler; dispose of any old, expired, or outdated items.
- Prep bar and pantry carts and stock beverage coolers according to event needs
- Set up rehearsal chairs and PA system in preparation for rehearsal activities.
- Assist the MOD in checking in personal items as needed.
- Review and familiarize yourself with the weekend event summary, floral summary, vendor orders, and bar details.
- Inspect exterior grounds, building exterior, and interior spaces for any special projects or cleaning needs; report findings to the MOD.
Friday – Sunday — Event Execution
- Serve as the lead member of the event setup crew, overseeing and executing all setup activities.
- Ensure event and room setups are completed accurately, safely, and efficiently in accordance with the approved event design and layout.
- Set up tables, chairs, linens, and other event equipment or items.
- Maintain general cleanliness of the event space and VIP/conference room, including prepping and sweeping.
- Provide excellent customer service to both internal staff and external clients throughout the event setup.
- Confirm that the floral team is setting up event florals in accordance with the Floral Summary.
- Check in rental orders upon delivery; verify accuracy against the sales order and promptly inform the MOD of any inconsistencies or issues.
- Coordinate with the linen and chair vendor to confirm layout and proper installation of all linens and chairs.
- Inspect exterior grounds and the interior of the building for any special projects or cleaning needs.
- Assist the VP and Creative Director with samples, projects, and other event-related tasks as needed.
Additional Responsibilities
- Other duties may be assigned as needed to support the overall success of Planterra Events, Inc.
Qualifications
- Prior experience in event coordination, hospitality, or a related field preferred.
- Ability to work a flexible schedule, including weekends and occasional early mornings or evenings.
- Strong attention to detail and organizational skills.
- Excellent interpersonal and communication skills with a client-service mindset.
- Physical ability to lift, carry, push, and pull equipment; ability to stand and be on the move for extended periods.
- Ability to work independently and as part of a collaborative team.
- Familiarity with event logistics, floral coordination, or catering operations is a plus.
Pay: From $23.00 per hour
