The Administrative Assistant supports the Office of the President with various administrative duties and challenges and provides a professional welcome to all customers, vendors, employees and colleagues.
Responsibility

Must pleasantly answer phones, greet guests, and politely screen incoming calls.

Must professionally welcome guests and direct them to the appropriate location/employee.

Must work independently to efficiently complete duties.
- Must maintain a clean, organized and safe environment across both Marietta locations (2470 & Building 30) in the reception area, kitchen, dining room, conference room, restroom, Kip areas.

Overseas the cleaning services schedule and communicates any updates or changes to staff in a timely manner.
- Manage and monitor the IT support inbox request, troubleshoot when appropriate, and stages issues accordingly.
- Maintain active software subscriptions and coordinate renewals or updates with managers.

Oversee all incoming and outgoing mail and deliveries, including USPS, UPS, couriers, and other services.

Maintain and update internal systems, including email distribution lists, copier/scanner access, alarm system permissions, and the employee directory (extensions and birthdays for active and terminated employees).

Monitor and respond to company inboxes including IT, Conferences and Info in a timely and professional manner.

Monitor and respond to the facility maintenance requests for both Marietta locations.

Manage equipment, copiers, phone and facility related maintenance requests.
- Manage inventory and ordering of company supplies (office, postage, copier, coffee, etc.) for Marietta both locations (2470 and Building 30).

Supports the Digital Project Coordinator with company events.
- Organize birthday lunches and events for the Admin department.

Assist with HR administrative tasks, including printing employee handbook and supporting Paycom needs.
- Must have excellent communications skills.
- Must demonstrate a positive attitude with peers, clients, vendors, and management.
- Must show initiative by proactively seeking useful tasks during idle periods.
- Must be proficient in Microsoft office software programs including Excel and Word as well as Adobe Professional.
- Must be flexible with an eagerness to learn.
- Must obtain notary.
