We are hiring a Construction Project Coordinator to run procurement, material logistics, and day-to-day project support for high-end residential remodels.
Job Description
The Project & Operations Coordinator at Millers Builders owns the supply chain between our vendors, warehouse, and active job sites, and supports the day-to-day coordination of our projects. This role ensures our construction projects have the tools, equipment, and supplies they need, delivered cost-effectively and on time. It also keeps schedules, documentation, and information moving between the office, the crew, and our subcontractors. The coordinator maintains accurate inventory levels, manages vendor relationships, and protects the integrity of the procurement process, all in service of our core operating principles:

This position is based in Oakland, CA, with projects across the East Bay.
About the Role
This is an entry-level role for someone who wants to build a career in construction management. Our shop is small and hands-on: no forklifts, no loading docks, no pallet racking. We don’t want to waste your time - if you have spent years running a large warehouse and are looking for a warehouse job, this role might feel too small. If you want to learn how construction projects actually run, from materials and vendors to schedules, subcontractors, and inspections, and want to grow with a company, it will feel just right.
You will start by owning our procurement and inventory operation from day one: daily material runs, vendor orders, tool tracking, and keeping our crews supplied. Per interest and performance, there is room in this position to grow into a project management role and related responsibilities. No day looks the same, and you will touch nearly every part of residential remodeling.
We're looking for a self-starter who thrives with independence, takes initiative, and owns the results. You'll work directly with the owner, who sets day-to-day priorities for procurement and material needs. You'll be the critical link that keeps our crews supplied and our projects moving.
Position Responsibilities
Daily Procurement & Delivery
- Schedule daily shopping and delivery of materials and tools between multiple vendors and job sites
- Manage daily preparation of load out/in of the crew into company vehicles
- Pick up and deliver materials, tools, and equipment directly to job sites as scheduled
- Place and track daily project material orders with vendors under the direction of the owner
- Conduct job-site tool inventory reviews and keep tool locations up to date in our digital tracking system
- Ensure accurate records of deliveries and pickups to confirm what was received
Inventory Control and Tracking
- Manage company-wide inventory levels, ensuring materials and parts are accurate and available for ongoing projects
- Maintain accurate and up-to-date inventory records using our in-house inventory tracking system
- Keep the warehouse and shop organized, clean, and safe
- Log which tools are checked out to which crew/site, and schedule repairs or replacements
- Identify and dispose of obsolete, damaged, or excess inventory
Project Operations & Admin
- Distribute and update project schedules for subcontractors and project teams
- Coordinate documentation across preconstruction, construction, and closeout
- Maintain construction logs, reports, directories, and code-required documents
- Attend job site meetings; prepare and distribute minutes; follow up on meeting action items to ensure deadlines are met
- Track RFIs, submittals, and change orders, keeping documents current and accessible
- Coordinate permits and inspections, including status tracking and follow-up
Position Requirements
- Valid CA driver's license (comfort driving a truck is a plus)
- Genuine interest in building a career in construction project management; exposure to construction, logistics, or project coordination is a plus, but drive and flexibility matter more than a specialized resume
- Comfortable with technology: we run the company on Notion and AI tools such as Claude, so proficiency with digital tools, or a demonstrated ability and willingness to learn them, is essential
- Strong customer service and communication skills
- Able to consistently perform physically demanding tasks, including lifting 50+ lbs
- Organized and detail-oriented
- Punctual, dependable, and safety-minded, with a professional appearance and positive work habits
- Basic math skills for inventory counts and cost tracking

- Monday–Thursday, four 10-hour days (4 tens), Fridays off
- 7:00 AM – 5:00 PM
Pay: $25.00 - $32.00 per hour
