Position Summary
A Lubbock based holding company with several affiliated companies, seeks a full-time, in-office Bookkeeper and Office Administrator. This is a combined role for an experienced, detail-driven professional who can own the day-to-day bookkeeping for the businesses, manage the front office, provide legal-assistant support, and serve as executive assistant to a principal of the holding company. Bookkeeping is the core of the position and the largest share of the work.
Primary Responsibilities
Bookkeeping and Accounting (primary)
- Maintain the books in QuickBooks Desktop for the companies, including all data entry and account coding.
- Manage accounts payable and accounts receivable, billing, invoicing, and collections.
- Reconcile bank and credit card accounts monthly.
- Process payroll and prepare and remit payroll tax deposits and filings.
- Prepare and file sales tax returns.
- Track job costs for construction companies and report margins by job.
- Produce monthly financial reports (profit and loss, balance sheet, accounts receivable aging) for the CFO.
- Handle month-end close, prepare annual 1099s, and support the outside CPA at year-end.
Office Administration and Reception
- Answer and route incoming calls and greet clients and visitors.
- Manage mail, supplies, vendor accounts, and general office operations.
- Maintain calendars, deadlines, and appointment scheduling.
Legal Assistant Support
- Assist with client intake, file organization, scheduling, and document preparation.
- Support electronic court filing.
- Maintain client files and protect the confidentiality of privileged information.
Executive Assistant Support
- Provide calendar, correspondence, scheduling, and follow-up support to a principal of the holding company.
Required Qualifications
- Three or more years of full-charge bookkeeping experience.
- Demonstrated proficiency with QuickBooks Desktop, not only QuickBooks Online.
- Hands-on payroll and payroll tax experience.
- Strong Microsoft Excel and Word skills.
- High accuracy, strong organization, and the ability to manage the books with limited supervision.
- A professional, courteous manner with clients and callers.
- Sound judgment and absolute discretion with confidential and privileged information.
Preferred Qualifications
- Bookkeeping experience in a law firm and, or a construction or contractor setting (job costing, lien waivers, progress billing).
- Texas notary commission, or willingness to obtain one.
- Familiarity with Texas court electronic filing.
Pay: $20.00 - $25.00 per hour
