ESSENTIAL FUNCTIONS/TYPICAL TASKS:
The incumbent will be responsible for the coordination, scheduling, and operational oversight of the Pilgrims of Sanford Agricultural Marketplace (PSAM) and will serve as the City’s primary liaison with the Lee County Extension Office as well as other community partners, agencies, vendors, contractors, and stakeholders regarding facility operations, programming, scheduling, events, and public engagement initiatives. Will also assist with planning, promotion, coordination, and execution of community events and other public activities, administrative and customer service functions, inspections, and other operational needs for assigned public spaces.
- Coordinate scheduling, reservations, permits, and use of City facilities, parks, recreational amenities, marketplace facilities, and associated grounds, ensuring compliance with City policies, procedures, and operational requirements.
- Assist in the administration and operation of specialized facilities and programs, including shared-use spaces, commercial kitchen operations, vendor programs, facility access, reporting, recordkeeping, and user support.
- Manage facility- and program-related financial functions, including invoicing, payment collection, revenue tracking, deposits, leases, rentals, and financial recordkeeping in accordance with City policies and procedures.
- Develop and maintain marketing materials, website content, public communications, and social media initiatives to promote the marketplace, programs, events, parks, recreation activities, marketplace operations, and community engagement efforts.
- Assist with the planning, promotion, coordination, and execution of community events, festivals, recreational programs, facility rentals, and other public activities, including on-site operational support, vendor coordination, and customer service.
- Coordinate maintenance, custodial services, grounds upkeep, technology systems, equipment servicing, supply procurement, pest control, waste management, safety compliance, and other operational needs for assigned facilities, parks, and public spaces.
- Serve as a point of contact for facility emergencies, operational issues, and customer concerns, coordinating response efforts with City staff, community partners, contractors, and service providers as needed.
- Assist with administrative functions including facility records, agreements, permits, inspections, policies, procedures, reporting, and other documentation related to facility, marketplace, and parks operations.
- Conduct routine inspections of parks, facilities, and public spaces; identify maintenance, operational, or safety concerns; and coordinate corrective actions as needed.
- May supervise assigned staff and coordinate the work of temporary staff, volunteers, contractors, vendors, and partners supporting facility operations, programs, events, and public services.
- Provide excellent customer service and perform other related duties in support of marketplace, parks, recreation, public facilities, and community engagement operations.
- Perform other related duties and responsibilities as assigned to meet operational, programmatic, and organizational needs.
Knowledge of public facility operations, scheduling, and event coordination. Working knowledge of or ability to learn commercial kitchen operations and food safety regulations. Ability to manage shared responsibilities with external partners while maintaining City accountability and to interpret and apply City policies, procedures, and safety standards. Proficiency with office software and facility management or scheduling systems. Strong organizational, communication, and customer service skills. Ability to manage multiple priorities, schedules, and deadlines in a public-sector environment. Knowledge of basic financial processes, invoicing, revenue tracking, basic marketing practices, social media management, and digital design platforms including Canva and Meta Business Suite. Any combination of education and experience equivalent to graduation from an accredited college or university with major coursework in event management, public relations, parks and recreation, or public administration with moderate experience in facility operations, event coordination, community services, or a related municipal, nonprofit, or public-sector environment.
Possession of a valid North Carolina driver’s license upon hire. Must meet and maintain all certification, license and training requirements for position.
