Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Client focused looking for the following qualifications to support daily office operations, streamline administrative processes, positive Attitude with problem solving skills and ability to communicate with multiple customer service departments.
The ideal candidate will be reliable and bring enthusiasm, problem solving and timeliness to manage a variety of clerical and customer service tasks.
Responsibilities
- Greeting visitors and clients with professionalism and warmth as well as dress code
- Operate multi-line phone systems, handle inquiries, direct calls efficiently, set appointments and maintain excellent phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office, financial software and client relationship management software.
- Organize files, documents, and correspondence through electronic filing systems and proofreading for accuracy. Along with understanding the importance of retaining records and audits for compliance
- Assist with calendar management, scheduling appointments, meetings, and coordinating events or travel arrangements
- Provide exceptional customer support by addressing inquiries promptly and professionally in person or via phone or email
- Ability to learn how to open accounts and navigate the tasks to help clients
- Maintain office supplies inventory, order necessary materials, and ensure the office environment is organized and welcoming
- Support clerical tasks such as typing reports, preparing presentations, and managing incoming/outgoing mail as well as deposits and scanning
- Understanding compliance oversight is helpful
- Strong ethics, values and honesty
- Experience as notary or willingness to become Notary
- Ability to learn and be comfortable with industry changes
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and data entry tools
- Excellent organizational skills with the ability to prioritize tasks effectively
- Demonstrated customer privacy skills and standards
- Ability to assist with marketing events and social media posts
- Other duties as assigned
Pay: $17.00 - $20.00 per hour
