Overview
We are seeking a dynamic and highly organized Assistant to join our team! Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
- Operate multi-line phone systems to handle incoming calls efficiently, providing accurate information or routing calls as needed
- Perform data entry tasks using Microsoft Office and Google Workspace applications to maintain accurate records and files
- Support office management activities including filing, proofreading documents, and organizing paperwork for easy retrieval
- Assist with calendar management and scheduling appointments or meetings for staff and executives
- Provide exceptional customer support by addressing inquiries promptly and courteously via phone or email
- Conduct clerical tasks such as photocopying, faxing, mailing, and maintaining office supplies inventory
- Support bookkeeping activities using QuickBooks or similar accounting software to ensure accurate financial records
- Maintain high standards of phone etiquette and professionalism in all interactions to foster positive relationships
Requirements
- Proven experience in office administration or clerical roles with at least some office experience preferred
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
- Bilingual abilities are highly desirable to serve diverse clients and team members effectively
- Experience with multi-line phone systems, front desk operations, and office management is preferred
- Knowledge of medical or dental receptionist duties is a plus but not required; relevant personal assistant experience is also valued
- Demonstrated customer service skills with professional phone etiquette and interpersonal communication abilities
- Ability to handle confidential information discreetly with strong proofreading and time management skills
- Typing speed of at least 50 words per minute is advantageous
