ROLE SUMMARY
The Patient Care Coordinator is instrumental in optimizing clinic flow at the Children's Center, offering exceptional customer service from scheduling, patient intake, referral coordination, and payment collection. Their multifaceted role includes assisting audiologists during clinical evaluations and with routine audiology tasks. This position requires a friendly, reliable, and well-organized individual to handle day-to-day administrative activities.
ESSENTIAL RESPONSIBILITIES
CLINICAL DUTIES:
- Occasionally assist audiologists during pediatric hearing evaluations and other audiology testing.
- Provide exceptional customer service in person, over the phone, and through email.
- Maintain knowledge of clinical services, policies, procedures, hours of operation, and special circumstances.
- Work in collaboration with clinic and foundation staff.
- Occasional translation (Spanish) between clinician and patient/family.
ADMINISTRATIVE DUTIES:
- Provide exceptional customer service in person, over the phone and through email.
- Maintain a high level of professionalism while interacting with patients, staff and community.
- Monitor quality and timeliness of patient flow and troubleshoot/problem solve to optimize flow.
- Communicate clearly and frequently with coworkers to enhance cohesion of the entire team.
- Schedule and confirm appointments.
- Collect patient intake forms and maintain records in database.
- Ensure complete, accurate, and timely entry of patient information into EMR system.
- Collect payments including co-pays/co-insurances.
- Work in collaboration with clinic and foundation staff.
- Send completed reports to referring centers.
- Responsible for keeping the front desk and waiting area clean and organized.
- Provide support for additional administrative, insurance, or clinical tasks as needed.
- Other duties as assigned.
QUALIFICATIONS
EDUCATION & EXPERIENCE:
- High school diploma or equivalent; college degree is a plus.
- Experience working in a clinical setting with children and families.
- Customer service experience.
- Experience working with EMR or other database systems. Experience with Sycle is a plus.
- Experience with Medi-Cal or CCS is a plus.
- Bilingual (Spanish) and/or experience working with hard of hearing populations is a plus.
KNOWLEDGE, SKILLS & ABILITIES:
- Interest in working with children and families.
- Basic understanding of health insurance plans and medical terminology.
- Ability to multitask using the computer and telephone while engaging with patients.
