Children's Psychiatry Department Assistant

About the Role
Family Solutions is looking for a warm, organized professional to join our Children's Psychiatry Department as a Department Assistant. This is a role for someone who genuinely enjoys working with kids and families, feels at home with administrative work, and is comfortable in a clinical environment — without taking on the full scope of duties traditionally associated with a medical assistant.
You'll split your time between front-facing, client-centered tasks and behind-the-scenes coordination that keeps our prescribers and department running smoothly. Think of it as a blend of receptionist, scheduling coordinator, and clinical support — all in a behavioral health setting that serves children, youth, and families.
This is not a nursing or traditional MA role. We are specifically seeking candidates who hold CNA credentials (or equivalent experience) and want to apply their clinical knowledge in a lighter-touch, family-focused setting. If you love interacting with kids, have a knack for organized multitasking, and want meaningful work without the intensity of a care facility — this could be a great fit.
What You'll Do
CLIENT & FAMILY SUPPORT
- Welcome children and families with warmth; provide supervision and engagement for children during caregiver appointments
- Make appointment reminder and follow-up calls to families
- Room clients for telehealth and in-person sessions, ensuring they feel comfortable and prepared
- Serve as a calm, friendly first point of contact for families navigating our psychiatry department
CLINICAL & ADMINISTRATIVE SUPPORT
- Take and enter vitals into the EHR (Carelogic); understand and accurately document findings
- Complete and score clinical assessments as part of appointment flow
- Manage refill requests and medication calls, routing appropriately to prescribers or the Medical Coordinator
- Understand and apply basic medical and prescription terminology in daily communications
- Support prescribers with documentation, electronic faxes, and records management
- Prepare charts for upcoming appointments: verify eligibility, check consents, review medication history
SCHEDULING & COORDINATION
- Schedule and confirm client appointments; reschedule as needed
- Arrange interpreter services and prescriber Zoom/telehealth meetings
- Ensure accuracy between Carelogic and Outlook calendars
- Check and process the electronic fax folder; scan and upload documents into the EHR
- Serve as backup to the Psychiatry Department Lead as needed
What You'll Bring
- CNA certification strongly preferred; candidates with equivalent clinical training or experience are encouraged to apply
- Administrative or office experience, ideally in a healthcare, behavioral health, or human services setting
- Comfort with basic clinical tasks: taking vitals, understanding prescriptions and medical terminology, and working within HIPAA compliance standards
- A genuine love of working with children and families, with patience and a warm communication style
- Strong organizational skills and ability to manage multiple priorities in a busy department
- Proficiency with electronic health records or similar systems (Carelogic experience a plus)
- Commitment to trauma-informed, family-centered care

- Status: Hourly, non-exempt
- Schedule: 0.8 FTE (30–32 hours/week), Monday–Friday; potential for additional hours
