Role Overview
The Fleet Manager is responsible for overseeing all company vehicles, equipment, and transportation operations to ensure HVAC technicians can safely and efficiently serve customers. This role manages fleet maintenance, vehicle compliance, fuel usage, driver safety, asset tracking, and replacement planning while controlling operating costs and maximizing vehicle uptime.
Key Responsibilities
Fleet Management
- Vehicle Lifecycle Oversight
Manage procurement, upfitting, registration, and decommissioning of service vehicles. Ensure all vehicles meet operational needs and branding standards.
- Preventive Maintenance Scheduling
Develop and maintain a preventive maintenance calendar. Coordinate with vendors to minimize downtime and ensure timely oil changes, tire rotations, brake inspections, and emissions checks.
- Fleet Tracking & Telematics
Implement and monitor GPS tracking systems to optimize routing, reduce idle time, and monitor driver behavior. Generate reports to support performance reviews and fuel efficiency initiatives.
- Fuel & Expense Management
Track fuel card usage, reconcile monthly expenses, and identify cost-saving opportunities. Investigate anomalies or misuse.
- Tool & Equipment Inventory
Maintain accurate records of tools and equipment assigned to each vehicle. Coordinate periodic audits to ensure accountability and readiness.
- Vehicle Assignment & Utilization
Assign vehicles based on technician roles, job types, and geographic zones. Monitor utilization rates and recommend adjustments to reduce wear and improve efficiency.
- Vendor & Insurance Coordination
Liaise with insurance providers, leasing companies, and repair shops. Manage claims, renewals, and ensure proper coverage for all assets.
- Accident Documentation & Reporting
Collect and organize all relevant documentation following vehicle accidents or workplace incidents, including photos, witness statements, police reports, and technician accounts.
Submit initial claims to insurance providers for vehicle damage, liability, or workers’ compensation. Track claim status and follow up with adjusters to ensure timely resolution.
- Repair & Replacement Oversight
Coordinate vehicle repairs or replacements with approved vendors. Ensure insurance coverage aligns with repair estimates and downtime is minimized.
Qualifications
- 3+ years experience in fleet management (HVAC or construction preferred)
- Proficiency in fleet tracking software and Microsoft Excel
- Excellent organizational and communication skills
- Valid driver’s license and clean driving record
