About the Organization:
CMG is a 5th generation family-owned and operated organization that provides real estate development services, property management, financial advisory, and estate and tax management for Corliss holdings. CMG oversees investments in 2,000 acres of land in Pierce and King County, including mineral resources, the Sunrise master planned community in South Hill, WA, self-storage, residential multifamily, commercial/retail buildings, and light industrial properties. CMG provides guidance for liquid financial investments, including the management of private lending in real estate.
General Purpose:
The Property Administrator is responsible for a wide range of administrative tasks supporting commercial, land, and multifamily operations. The role serves the Property Manager as the primary internal customer for commercial and land assets, the Senior Asset Manager for multifamily, and the Chief Operating Officer for special projects. Allocation of time is approximately 70% commercial and land, 15% multifamily, and 15% COO special projects, recognizing that multifamily needs concentrate at month-end and during active acquisitions. This role is also expected to deepen utilization of Yardi within the property and asset management context, stay current on technology and AI tools relevant to the function, and identify opportunities for automation and workflow improvement. Automation initiatives should be tied to defined deliverables and timelines approved by the supervising manager.
Duties & Objectives
Vendor & Maintenance Coordination
- Coordinate with vendors and maintenance providers for property repairs, scheduled work, and improvements across the commercial and land portfolio. Manage scheduling end-to-end: dispatch, tenant coordination, follow-up, and confirmation of completion.
- Manage the work order dashboard. Triage incoming requests, dispatch to vendors, track through completion, and surface escalations to the Property Manager.
- Research, evaluate, and onboard new vendors.
- Maintain preventative maintenance schedules and calendars.
Tenant Relations & Lease Administration
- Serve as a secondary point of contact for tenants, addressing inquiries and resolving issues or directing them appropriately when the Property Manager is unavailable.
- Support tenant onboarding activities, including communications such as commercial café invites and basic troubleshooting support
- Maintain lease documents and ensure records are accurate and up to date. Support the Property Manager during lease negotiations and renewals by preparing documents, tracking deadlines, and ensuring compliance with lease terms
Insurance & Compliance
- Manage and maintain tenant and vendor insurance documentation (COIs) across the commercial and land portfolio. Ensure compliance with company requirements and follow up on expiring or non-compliant certificates.
- Support the Senior Asset Manager with COI tracking across third-party property management companies serving the multifamily portfolio.
Multifamily Support (Senior Asset Manager)
- Support due diligence activities for new multifamily acquisitions.
- Provide ad hoc Yardi data pulls and administrative support.
COO Special Projects
- Provide administrative coordination on special projects including acquisition due diligence support, EOS quarterly preparation, and reporting.
Site Presence
- Conduct regular site visits across the commercial and land portfolio. Suggested cadence: monthly minimum per active commercial asset, with documented notes back to the Property Manager covering condition, vendor work in progress, and tenant matters.
Reporting & Operational Support
- Prepare and distribute operational reports including rent rolls, occupancy reports, and work order status. Support Asset Management with data pulls used in monthly financial reporting.
- Provide comprehensive administrative support, including document preparation, data entry, and office management tasks to ensure the efficient operation of the property and asset management function.
Yardi & Technology
- Build and maintain proficiency in Yardi’s property and asset management modules. Identify opportunities to deepen utilization, improve data integrity, and support workflow within the property and asset management scope. This role is not responsible for enterprise-wide Yardi administration outside of those functions.
- Identify and implement automation opportunities in Yardi and adjacent systems, scoped to defined initiatives approved by the supervising manager. Examples include reporting templates, work order routing, COI tracking workflows, and recurring data pulls. Independent research and tool exploration should be tied to defined deliverables and timelines.
Other
- Participate in special projects and other duties as assigned.
Priority Setting and Escalation
This role serves three internal customers. The Property Manager is the day-to-day supervisor and primary priority-setter. The Senior Asset Manager and Chief Operating Officer are internal customers whose needs are protected
by the established time allocation. When competing priorities cannot be resolved at the working level, the Property Manager arbitrates, with the Chief Operating Officer holding final override authority on cross-functional matters.

- Comfort working across mixed asset classes and third-party management structures.
Education & Experience
- Three to five years of experience in property management, asset management, or a related field.
- Yardi proficiency required.
- Mixed asset class exposure preferred.
- Degree in Business Administration, Real Estate, or related field preferred, or equivalent experience.
Work Environment and Conditions:
- Hybrid (site and office) work environment with a primary focus on in-office collaboration.
- Periodic site visits across the commercial, land, and multifamily portfolio, including occasional travel.
