Job Overview: Performs a combination of administrative and clinical duties under the direction and supervision of a provider. Administrative responsibilities include maintaining accurate medical records, managing patient communication through phone calls and portal messages. The Triage Medical Assistant plays a critical role in ensuring efficient clinic operations, timely communication, and high-quality, patient-centered care.
RESPONSIBILITIES:
- Manage all incoming patient calls and voicemails, ensuring completion and appropriate follow-up by the end of each business day. Prioritizing voicemails by Triage method and return calls promptly
- Verify Release of Information (ROI) when speaking with someone other than the patient. Confirm that documentation exists in the chart showing the caller is authorized. (If the caller is not on the ROI, collect information/requests only. Do not disclose any patient information.)
- Obtain a phone number from the caller, should the call become disconnected.
- Utilize the EMR to perform concise, thorough, and accurate documentation for all encounters.
- For emergent calls, immediately notify a provider and use triage desktops for urgent callback workflows.
- Respond to all symptomatic triage calls within 1 hour of receipt.
- Monitor the triage desktop/clearing alerts and flags within 24 hours. Ensure all items are completed or forwarded to the appropriate department.
- Utilize patient portals effectively to respond to patient inquiries in a timely and professional manner.
- Review and complete items placed in the MA front office bin, including triage forms, by the end of each day.
- During periods between calls, work on high-volume desktops to maintain workflow efficiency. Ensure all items on provider desktops are completed within 24–48 hours, including: Faxing completed forms, processing paper refill requests, reviewing laboratory results, Completing emergent and non-emergent patient callbacks, etc.
- Prior to leaving for the day, review all provider desktops to ensure urgent and time-sensitive items requiring same-day attention have been addressed.
- Monitor/assist with triage walk-in patients, including providing samples as directed, obtaining medical questions or concerns, collecting vital signs (Blood pressure, O2, Pulse or obtaining 12- lead ECG/EKG) when indicated.
- If a patient presents with emergent symptoms, immediately notify a provider, facilitate a same-day appointment, and document all findings in the EMR.
- Accurately record patient medical histories, vital signs, test results, and relevant clinical information to provide the provider with a complete understanding of the patient’s condition.
- Maintain knowledge of cardiac medications and be able to answer basic cardiac and non-cardiac questions as directed by a CVAM provider.
- Authorize prescription refills and relay prescription information to pharmacies following provider guidance. Ensure all STAT requests are completed the same day.
- Maintain patient confidentiality and protect clinic operations by adhering to HIPAA and all privacy regulations.
- Support providers by adhering to professional standards, office policies, and federal/state/local regulations.
- Provide personal assistance, emotional support, and patient-centered care to patients, coworkers, and others as needed.
- Develop goals and plans to organize and prioritize daily responsibilities effectively.
- Build constructive and cooperative working relationships with coworkers and maintain them over time.
