Orthodontic Treatment Coordinator Position Overview
The Treatment Coordinator plays a pivotal role in creating an exceptional patient experience from the very first visit. This individual is responsible for guiding patients and families through the consultation process, educating them on treatment options, and helping them feel confident in choosing care with our practice.
This role requires a unique combination of clinical understanding, communication excellence, emotional intelligence, and the ability to present treatment in a way that inspires confidence, trust and value. Key ResponsibilitiesPatient Experience & Consultations
- Lead new patient consultations from start to finish with warmth, professionalism, and confidence
- Build trust and rapport with patients and families by actively listening and understanding their goals and concerns
- Clearly and thoroughly explain the doctor’s diagnosis, treatment options, and orthodontic philosophy
- Collect and communicate key insights from patient conversations to assist the doctor in creating a customized and comprehensive treatment plan
- Customize each consultation to align with the patient’s needs, lifestyle, and expectations
- Educate patients on the value of treatment, including both esthetic and functional benefits
- Confidently present and “sell” the practice, doctor, and recommended treatment in an ethical, patient-centered manner
- Guide patients toward starting treatment by addressing questions, concerns, and objections
Clinical & Diagnostic Support
- Take high-quality diagnostic records including X-rays, photographs, and digital scans
- Ensure all patient records are complete, accurate, and organized
- Maintain a strong understanding of orthodontic appliances, techniques, and treatment workflows
- Support the clinical team as needed to ensure a seamless patient experience
Financial Coordination
- Present financial options clearly and confidently
- Explain payment plans, insurance benefits, and financing options
- Help patients understand the value of their investment in treatment
- Work toward achieving practice conversion goals and case acceptance targets
Communication & Follow-Up
- Conduct timely and effective follow-up with patients who have not started treatment
- Appropriately triage and prioritize follow-up communications using critical thinking and sound judgment to support personalized patient care
- Maintain consistent communication through phone, text, and email
- Send professional correspondence to referring dentists and other specialists
Team Collaboration
- Work closely with doctors, assistants, and front office team members to ensure a cohesive workflow and patient experience
- Communicate effectively with the team regarding patient needs, concerns, and expectations and tailoring the patient experience accordingly
- Contribute to a positive, supportive, and growth-focused team culture

Preferred Qualifications (We’re Happy to Train the Right Person)
- Previous orthodontic or dental experience (treatment coordinating preferred)
- Experience with case presentation and sales is highly valued
- Familiarity with orthodontic terminology and procedures
- Experience with imaging systems (X-rays, digital photos, scanners)
- Knowledge of dental insurance and financing options

Pay: $22.00 - $25.00 per hour
