Duties
- Manage multi-line phone systems, answer inquiries with professionalism, and direct calls efficiently using excellent phone etiquette.
- Perform data entry tasks with accuracy using spreadsheets, Microsoft Office, Google Workspace, and other productivity software.
- Handle front desk responsibilities including greeting visitors, managing appointments, and maintaining a professional reception area.
- Organize and maintain filing systems, both digital and physical, ensuring easy retrieval of documents and records.
- Assist with office management tasks such as supply inventory, calendar management, and scheduling meetings.
- Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices.
- Provide customer service support by addressing client questions promptly and maintaining positive communication channels.
Experience
- Prior office experience in administrative or clerical roles is highly preferred.
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Experience with data entry, filing systems, and document proofreading to ensure accuracy and clarity.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent communication skills for front desk interactions and client correspondence—bilingual abilities are a plus!
- Technical proficiency in office management tools such as multi-line phone systems, calendar management software, and basic bookkeeping programs like QuickBooks.
- Previous experience in medical or dental receptionist roles or personal assistant positions is advantageous but not required.
