Overview
We are seeking an energetic and highly organized Executive Administrative Assistant to join our dynamic team. This vital role supports executive leadership by managing administrative functions with efficiency and professionalism. Duties
- Provide comprehensive administrative support to executive leadership, including calendar management, scheduling meetings, and coordinating appointments.
- Handle multi-line phone systems with professionalism, ensuring excellent phone etiquette and prompt customer support.
- Manage office operations such as filing, data entry, proofreading documents, and maintaining organized records using productivity software like Microsoft Office and Google Workspace.
- Assist with bookkeeping tasks using QuickBooks and perform basic office management duties to ensure smooth daily operations.
- Support front desk activities by greeting visitors, answering inquiries, and providing exceptional customer service.
- Coordinate travel arrangements and prepare meeting agendas or presentations as needed.
- Maintain confidentiality of sensitive information while ensuring timely communication across departments.
Qualifications
- Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools.
- Familiarity with QuickBooks for bookkeeping purposes is highly desirable.
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Strong computer literacy and technical proficiency in office productivity software.
- Bilingual abilities are a plus to assist diverse client interactions.
- Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required.
- Exceptional phone etiquette skills coupled with the ability to handle multi-line phone systems confidently.
