As our business continues to grow, we are seeking an experienced Transaction Coordinator who aligns with our standards and can support our team in delivering a consistent, polished transaction process from contract to close.
The Opportunity
This is not a basic administrative position. We are looking for a seasoned Transaction Coordinator who takes ownership of the process, communicates with confidence, and understands the importance of professionalism in every interaction.
This is a hybrid role, with a combination of in-office collaboration and remote work from home, depending on the needs of the business.
Hours will vary based on transaction volume, typically ranging from approximately 12 hours per week up to 22 hours per week. Opportunity for additional hours during busy seasons.
You will play a key role in ensuring that each transaction is handled with precision, care, and efficiency—supporting both our agents and clients at a high level.
Please note: This role focuses on transaction coordination, real estate compliance auditing, and generating commission statements, and requires thorough real estate compliance knowledge for both residential and rental properties.
Key Responsibilities
- Manage transactions from accepted offer through closing with minimal oversight
- Proactively track and manage all timelines, deadlines, and contractual obligations
- Occasionally serve as a central point of communication between agents, clients, attorneys, lenders, and vendors
- Ensure a smooth, well-coordinated experience for all parties involved
- Anticipate and resolve potential issues before they impact closing timelines
- Maintain complete, accurate, and well-organized transaction files
- Occasionally coordinate inspections, appraisals, and closing logistics
- Provide consistent, professional updates throughout the transaction process
- Generate list and buy-side commission statements
- Prep commissions within transaction management software backoffice
- Communicate daily with office personnel and leadership

Professional Expectations
This position is designed for an experienced professional who is comfortable operating independently and upholding a high standard of service. It is best suited for someone who already brings a strong command of the transaction process and a polished, client-facing approach.
Qualifications
- 2+ years of real estate transaction coordination experience preferred
- Experience with Brokermint BackOffice and/or comparable transaction management and e-signing platforms. Ability and willingness to learn new software if needed.
- Proficiency with Google Workspace (Docs, Sheets, Drive) and general real estate software systems
- Comfort using modern tools, including AI-based platforms, to improve efficiency and organization
- Familiarity with Massachusetts and Rhode Island transactions strongly preferred
- Massachusetts real estate license required. Rhode Island license preferred.
- This role is not intended for active real estate agents
- Strong written and verbal communication skills
- Ability to prioritize, problem-solve, and execute efficiently

- $24 – $28 per hour, based on experience and capability
