As a Personnel Technician (Credentialing), you will report to the Senior Personnel Analyst (Credentialing), and play an integral role in achieving the mission and goals of SFUSD by performing detailed and specialized clerical work in the credentials office. This position will work closely with the credentials and staffing teams to complete processes that will involve supporting general operations, maintaining records, mailing out applications, compiling and reviewing large sets of data, putting together frequent notices and communicating with other departments and the general public.

The Legal Secretary I, will support the work and mission of the District’s Legal Division which includes the Office of Equity & Employee Relations. Members of the Legal Division work collaboratively with our clients to implement the District’s strategic plan by managing the District’s risk through skilled advice and administration of the District’s policies and procedures. Under supervision, the Legal Secretary I performs professional employee relations staff duties, supports the work of the Division by performing technical and operational administrative duties related to the Office of Equity & Employee Relations. The Legal Secretary I will oversee case and file compliance for the Office of Equity and Employee Relations teams, which includes but is not limited to, Williams Complaints, Title IX Complaints, Uniform Complaint Procedures, investigations, and progressive discipline.
Essential Duties

Under direct supervision, support complaint processes overseen by the Office of Equity, including the Williams, ADA, 504, Title IX, and Uniform Complaint processes.

Support both the Office of Equity and Employee Relations teams in maintaining organized document and case management systems, including: Google Drive, tracking systems, and iManage.

Under direct supervision, support the Office of Equity in completing compliance inspections, including annual Williams Inspections, Federal Program Monitoring, Civil Rights Review, and others as assigned.

Under direct supervision, support both the Office of Equity and Employee Relations teams with case management by:

Calendaring
-
Assisting with initial intake communications by phone, email, and in person

Referring matters when outside the scope of the Office of Equity and/or Employee Relations
-
Managing case files, including maintaining up-to-date and accurate documentation
-
Supporting teammates to ensure compliance deadlines are met
-
Reviewing and routing reports and communications from child protective services to appropriate staff
-
Submitting reports and documents as necessary to District insurers.

Supporting the updates and maintenance of public and intranet websites as needed
-
Monitoring complaints referred by SFUSD Link Line, and routing to appropriate staff

Apply established office procedures, District Policies, Board Policies and confidentiality requirements in maintaining case records and supporting complaint processes

Performing related duties and responsibilities, as assigned

Experience conducting investigatory intake interviews involving difficult and uncomfortable subjects

Experience processing claims related to employee misconduct and/or discipline

Strong computer skills including proficiency in G Suite, Microsoft Office Suite, and Adobe

Strong analytic and systems thinking
Minimum Qualifications
Two (2) years of verifiable experience as a legal secretary transcribing dictation and typing legal documents including petitions, motions, briefs, complaints and other legal forms; and the ability to type 55 net WPM.
NOTE: The ability to transcribe legal matters accurately from a transcribing machine with no more than a 2% error rate may be required by some departments as a special condition.
Substitution: A certificate of completion in legal secretarial skills from a recognized college, university, or training program, which involves learning legal terminology and legal formats and forms, may substitute for six (6) months of the required legal secretarial experience. Proof of satisfactory completion must be submitted at the time of filing.
