Duties
- Manage complex calendars, schedule appointments, and coordinate meetings efficiently using productivity software such as Microsoft Office and Google Workspace
- Handle incoming calls via multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer service skills
- Prepare, proofread, and edit correspondence, reports, presentations, and other documents with attention to detail and accuracy
- Facilitate communication between executives, clients, vendors, and internal teams through clear and courteous client communication and phone support
- Organize files, maintain records, and manage data entry tasks using spreadsheets and filing systems to ensure information is accessible and up-to-date
- Assist with bookkeeping tasks including invoice processing and expense tracking using QuickBooks or similar accounting software
- Support office management duties such as ordering supplies, managing office equipment, and overseeing front desk operations with professionalism.

Qualifications
- Proven experience as an executive assistant or in a similar administrative role with office experience
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and productivity software
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Exceptional written and verbal communication skills; bilingual abilities are a plus for diverse client interactions
- Experience with multi-line phone systems, calendar management, data entry, proofreading, filing, and document preparation
- Knowledge of office management practices including clerical experience and customer support functions
- Familiarity with bookkeeping software such as QuickBooks is preferred but not required
- Demonstrated ability to handle confidential information discreetly while maintaining professionalism at all times
