The Medical Receptionist is the first point of contact for patients and visitors and plays an important role in creating a professional, welcoming, and efficient experience for every patient. This position is responsible for greeting and checking in patients, answering and directing telephone calls, verifying patient information, collecting required payments, maintaining accurate records, and assisting with the daily flow of the front office.
The ideal candidate is friendly, dependable, organized, professional, and able to manage multiple responsibilities in a busy medical office while maintaining patient confidentiality.
Essential Duties & Responsibilities Patient Reception & Check-In
- Greet all patients and visitors in a friendly and professional manner.
- Check patients in promptly and accurately.
- Verify patient demographic information, insurance information, telephone numbers, addresses, and other required information at each visit.
- Obtain updated insurance cards and identification as needed.
- Ensure required patient forms and paperwork are completed.
- Notify appropriate clinical staff when patients have arrived.
- Maintain an orderly and professional reception and waiting area.
- Assist patients with general questions and direct clinical questions to the appropriate staff member.
Telephone Responsibilities
- Answer incoming telephone calls promptly and professionally.
- Identify the patient's needs and route calls to the appropriate department or staff member.
- Take accurate and complete messages when necessary.
- Maintain appropriate telephone etiquette at all times.
- Protect patient confidentiality when communicating by telephone.
Scheduling & Office Support
- Assist with scheduling and appointment-related duties as assigned.
- Communicate appointment information and office instructions clearly to patients.
- Assist with patient paperwork, records, scanning, and other front-office duties.
- Work closely with clinical staff, the discharge area, and business office to maintain efficient patient flow.
- Communicate delays, scheduling concerns, or patient issues to the appropriate staff member.
- Perform additional clerical and administrative duties as assigned.
Patient Payments
- Collect copays, coinsurance, deductibles, past-due balances, and other patient-responsibility amounts as directed.
- Follow established office procedures regarding collection of patient balances.
- Provide receipts and accurately document payments.
- Direct billing or account questions to the business office when appropriate.
- Maintain accuracy and confidentiality when handling financial information.
HIPAA & Confidentiality
- Maintain strict confidentiality of all patient and practice information.
- Follow HIPAA requirements and all practice policies and procedures.
- Discuss patient information only with authorized individuals and only when necessary to perform job responsibilities.
- Maintain a professional environment where private patient information cannot be overheard or viewed unnecessarily.
Pay: $16.00 - $22.00 per hour
