Position Overview:
We are seeking a detail-oriented Medical Records Specialist to support our healthcare team with administrative and documentation duties. This role is responsible for maintaining accurate patient records, coordinating with clinical and billing staff, and ensuring compliance with healthcare regulations. The ideal candidate is organized, communicative, and comfortable working in a fast-paced medical environment.
Key Responsibilities
Records & Documentation
- Maintain and update patient records, ensuring accuracy and confidentiality (HIPAA compliance)
- Enter and retrieve data from electronic health record (EHR) systems, entering information accurately and completely
- Prepare, organize, file, and scan medical charts and reports, ensuring accuracy of all components within the file
- Assist with admissions, discharge, and transfer paperwork
- Call referral sources to obtain corrected, deficient, or missing documentation
- Collect verbal orders, written copies of verbal orders, and authenticated doctor's orders prior to billing for supplies
Billing & Insurance
- Verify patient insurance information and process billing/coding documentation
- Support the billing department with claims submission and follow-up as needed
Communication & Coordination
- Answer phone calls, respond to inquiries, and route messages to appropriate staff
- Handle incoming and outgoing mail, faxes, and email correspondence
- Coordinate with physicians and clinical staff to ensure timely processing of patient information
- Fulfill requests by clarifying desired information, completing transactions, and forwarding requests when applicable
- Communicate effectively with teammates to ensure high-quality, timely completion of requests
Quality & Compliance
- Maintain compliance with healthcare regulations and facility policies
- Identify and report errors and quality deficiencies to management
- Contribute ideas for resolving problems, improving service, and increasing productivity
Basic Qualifications
- High school diploma or equivalent experience
- Clerical skills, including proficiency with data entry and computer programs
- Ability to take initiative and work independently
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Ability to maintain confidentiality and handle sensitive information professionally
- Medical records experience a plus
- Basic knowledge of medical billing and insurance procedures a plus
