About the Role
We are seeking a friendly, organized, and detail-oriented Medical Receptionist to join our team. As the first point of contact for clients and their pets, you play a key role in creating a positive experience while keeping the hospital running smoothly.
This role is ideal for someone who enjoys multitasking and working in a fast-paced environment.
What You’ll Do
Client Service & Communication
- Greet clients and pets with a warm, professional demeanor
- Answer high-volume phone calls and provide accurate information
- Use a standard greeting and maintain a consistent, professional tone
- Address client questions and concerns; escalate medical or complex issues appropriately
- Communicate clearly with veterinarians and technicians to support patient care
Scheduling & Call Management
- Schedule appointments efficiently based on visit type and urgency
- Prioritize calls and manage hold times appropriately
- Confirm appointments and update client and patient information
- Support workflow by coordinating arrivals, drop-offs, and discharges
Check-In / Check-Out & Payments
- Check clients in and out accurately and efficiently
- Process payments and handle billing questions
- Review invoices with clients and ensure services are properly documented
- Complete required forms and consent documents
Administrative Support
- Maintain accurate medical records and client information
- Enter charges, notes, and updates into practice management software
- Manage prescription and food requests with the clinical team
- Send reminders for appointments, vaccines, and follow-up care
Hospital Flow & Team Coordination
- Act as a liaison between clients and the medical team
- Keep the schedule organized and communicate delays or changes
- Support efficient patient flow throughout the day
Front Desk & Facility Support
- Maintain a clean, organized, and welcoming reception area
- Stock front desk supplies and client materials
Additional tasks assigned by supervisors as needed based on training and experience.
Physical Requirements
- Ability to sit or stand for extended periods
- Occasional lifting up to 25 lbs
- Comfortable working around animals
Schedule
Must work one of the following scheduled shifts:
- 7 AM - 2 PM M-F, 7 AM - 2 PM every other Saturday
- 2 PM - 7:30 PM M-F, 7 AM - 2 PM every other Saturday
Must be available for evenings, weekends, and holidays
