Full job description
The Accounting Specialist is responsible for the accurate, timely, and compliant financial recordkeeping of The Charity Guild of Catholic Women, a high volume non-profit resale shop. This role manages daytoday accounting operations, ensures strong internal controls, supports financial reporting for leadership, and helps maintain the financial integrity of the organization. The ideal candidate brings strong technical accounting skills, attention to detail, and experience working in a fast paced environment.
Key Responsibilities
Daily & Weekly Accounting
- Record daily sales, deposits, and cash reconciliations from the point of sale (POS) system in QuickBooks.
- Resolve cashier pricing exceptions and enter adjustments when needed.
- Process vendor invoices, employee reimbursements, and credit card
- transactions.
- Manage accounts payable and ensure timely payment of all obligations.
Monthly Accounting & Reconciliations
- Assist with preparing monthly consignment checks.
- Assist with month - end close and preparation of financial statements.
Financial Reporting & Compliance
- Prepare monthly sales reports for the Shop Managers and various departments.
- Support budgeting and forecasting processes, including variance analysis.
- Ensure compliance with nonprofit accounting standards (GAAP) and internal financial policies.
- Assist with annual audit preparation, including schedules, documentation, and auditor requests.
- Maintain organized digital and physical financial records in accordance with retention policies.
Retail & Operational Support
- Monitor sales trends, donation revenue, and expense categories for accuracy and reasonableness
- Provide financial insights to help Shop Managers optimize store performance.
- Perform other accounting or administrative tasks as assigned.
Qualifications
Required
- 1-3 years of professional accounting experience
Technical Skills
- Strong understanding of GAAP and nonprofit accounting principles.
- Proficiency with accounting software (e.g., QuickBooks or similar).
- Experience with POS systems and high volume daily sales reconciliation.
- Advanced Excel skills (pivot tables, lookups, reconciliations).

Physical & Work Environment Requirements
- Ability to work onsite in an office within the resale shop environment.
- Occasional lifting of files or boxes up to 20 lbs.
- Ability to meet deadlines during peak periods (month end, audit, yearend).
Schedule and Pay
The Accounting Specialist works a full-time schedule, typically 30 hours per week,based on the needs of the business. Workdays are Monday through Friday for 6 hours each day (9:00 am – 3:00 pm). Starting pay for this position is $25.00 per hour.
