SUMMARY
To provide administrative assistance to the parish pastor and all parish members.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Secretarial and receptionist support for Pastor and all office staff. Update and maintain listings and reports for staff use; take and distribute monthly staff meeting minutes. Prepare First Friday lists for clergy and lay ministers in a timely manner.
2. Work collaboratively in a positive, friendly, and professional manner with all employees, parishioners, volunteers and parish contacts.
3. Make entries and updates to CDM program for all parishioner (new and current) information including, but not limited to new parishioner entries, address changes, deaths, transfers, etc.
4. Recruit volunteers as required to assist in performing various tasks.
5. Assist those that call or come to the parish office.
6. Update mailing information for parishioner envelopes, providing Diocesan monthly and annual reports as requested.
7. Assist with parish social media as needed – website and Facebook.
8. Maintain parish calendar of all activities for building use (inside and outside), meetings for churches; print schedule for custodial staff and publish calendar events on website.
9. Communicate by phone and email with parishioners, councils and ministry volunteers.
10. Monitor/respond to church email.
11. Liaison to telephone service provider, coordinate and manage voicemail messaging to parishioners.
12. Answer phones, monitor messages and respond according to need.
13. Sort and distribute mail.
14. Prepare various mailings to parish members relative to parish and Diocese operations, as required.
15. Manage content preparation, creation and distribution of weekly bulletin. Coordinate timing of inserts.
16. Manage Mass intention calendar and record stipends.
17. Prepare baptismal certificates, marriage licenses and notifications; record in sacramental registers.
18. Prepare, process and mail requests for baptismal certificates and marriage notifications; maintain Diocesan records.
19. Maintenance of contribution envelopes and processes; may be called upon to enter weekly envelope contributions into CDM.
20. Monitor/order office supplies.
21. Maintain meter readings for copiers; contact for office equipment, including calling for maintenance and repairs as needed.
22. Monitor/prepare special church liturgical supply orders, as requested
GENERAL RESPONSIBILITIES
Maintain a current level of knowledge and skills required to effectively serve in this position.
SUPERVISORY RESPONSIBILITIES
Not responsible for any immediate supervision of employees. May include oversight of volunteers.

EDUCATION and/or EXPERIENCE
The applicant should possess any combination of education, training or experience that provides the required knowledge, skills and abilities necessary to perform the function of the job.
- A High School Diploma or GED is preferred.
- Successfully pass a criminal background check.
LANGUAGE SKILLS
Ability to read, write and comprehend instructions; compose correspondence and social media content. Ability to effectively present information in one-on-one and small group situations to parishioners, visitors and other employees/volunteers of the parish.
OTHER EXPERIENCE/SKILL
- Computer skills such as Microsoft Office software including Word, Excel, Powerpoint, Outlook
- Awareness and effective usage of social media
- Ability to access the internet and make appropriate searches as needed
- Basic math skills.
- Excellent language and communication skills
- Ability to use good judgment with confidential information
- Ability to operate office equipment and assist others as needed

WORK ENVIRONMENT
The office is located on the ground level of the church building with all necessary equipment, including elevator, to carry out the functions of this position, which includes occasional visits to the parish social hall on the lower level and the church proper on the second level. Some travel to All Saints, the bank or the post office may be required.
Pay: $17.50 - $19.50 per hour
