The Administrative Assistant supports the accounting department in the day-to-day mechanics of office operations, clerical accounting tasks, and general business support. You will serve as a reliable point of contact for routine inquiries, own administrative functions end to end, and ensure that information flowing in and out of the office is accurate, timely, and well-documented. This role operates with a high degree of attention to detail and discretion.
Pay: $25.00 - $30.00 per hour, depending on experience
Responsibilities
Administrative & Office Support
- General Administrative Support: Provide day-to-day administrative assistance to the accounting team and broader office operations, keeping workflows organized and on track.
- Filing & Record Keeping: Maintain organized digital and physical filing systems, ensuring documents are easy to locate and consistently up to date.
- Correspondence: Draft, send, and respond to routine emails and inquiries in a professional and timely manner.
- Confidentiality: Handle sensitive business and employee information with the utmost discretion at all times.
- General Office Duties: Perform additional office tasks as needed to support business operations and keep the team running smoothly.
Accounting & Clerical Support
- Data Entry: Accurately enter financial and operational data into accounting systems, maintaining clean and reliable records.
- Invoice Tracking: Assist with tracking incoming and outgoing invoices, flagging discrepancies and ensuring documentation is complete and organized.
- QuickBooks: Support day-to-day accounting tasks using QuickBooks including data entry, record updates, and basic transaction management.
- Excel & Spreadsheets: Build and maintain spreadsheets to track financial data, operational information, and reporting needs; comfortable working with formulas, filters, and organized data sets.
- Bookkeeping Support: Assist with basic bookkeeping tasks as directed, supporting accuracy and consistency across financial records.
Administrative & Operational Support
- Maintain accurate and organized files and support data integrity across office and accounting systems.
- Routine Inquiries: Respond to standard internal questions and requests; escalate complex matters to the appropriate team member.
- General Support: Provide flexible administrative support across departments including scheduling, document preparation, and coordination tasks as assigned.
Qualifications
- Prior administrative or office experience required.
- Basic accounting knowledge with hands-on experience in QuickBooks and Microsoft Excel or similar spreadsheet tools.
- Proficiency with Google Workspace or Microsoft Office suite.
- Strong attention to detail and ability to follow through on tasks reliably.
- Demonstrated common sense, good judgment, and dependability.
- High degree of discretion in handling confidential business and employee information.
- Clear written and verbal communication skills with a professional, approachable style.
- Bilingual in English and Spanish highly preferred.
- HR knowledge or experience is a plus.
