Philadelphia Truck Parts is seeking a highly organized and detail-oriented Data Entry Representative to accurately enter, update, and maintain business records within the company's databases and inventory management systems. The ideal candidate will ensure data accuracy, support daily administrative operations, and work closely with customer service, sales, purchasing, warehouse, and logistics teams to maintain reliable records of truck parts inventory, customer orders, and vendor information.
Key Responsibilities
- Accurately enter customer orders, inventory data, product information, and vendor records into company databases.
- Update and maintain inventory records, pricing, product descriptions, and stock availability.
- Verify the accuracy and completeness of data before entry.
- Review documents for errors, inconsistencies, or missing information and make corrections when necessary.
- Process purchase orders, invoices, shipping documents, and receiving records.
- Maintain customer, supplier, and product databases with a high degree of accuracy.
- Organize, scan, file, and maintain electronic and physical business records.
- Generate reports and spreadsheets for inventory, sales, and administrative departments.
- Collaborate with warehouse, purchasing, customer service, and accounting teams to ensure data consistency.
- Perform regular database audits to maintain data integrity.
- Protect confidential company and customer information.
- Meet daily productivity and accuracy goals while adhering to company policies and procedures.
- Assist with general administrative duties and special projects as assigned.
Qualifications
- High school diploma or equivalent required; Associate's degree is a plus.
- Previous experience in data entry, administrative support, inventory control, or office administration preferred.
- Strong typing skills with a high level of accuracy.
- Proficiency in Microsoft Office Suite, especially Excel and Outlook.
- Experience with ERP, inventory management, CRM, or database systems is an advantage.
- Excellent attention to detail and organizational skills.
- Strong analytical and problem-solving abilities.
- Ability to manage multiple tasks and meet deadlines.
