Position Summary
We are seeking a detail-oriented and customer-focused Service Writer to join our team. In this role, you will serve as the primary point of contact between customers, technicians, and operations. You will create accurate work orders, provide estimates, coordinate repairs, and ensure exceptional service delivery for our mobile fleet maintenance operations. This is a key position that directly impacts customer satisfaction and business efficiency.
Key Responsibilities
- Greet and communicate with customers (fleet managers, dispatchers, and equipment owners) via phone, email, and in-person to understand service needs.
- Write detailed work orders, including accurate job descriptions, parts requirements, labor estimates, and repair timelines.
- Prepare and present service estimates and quotes; obtain customer approvals.
- Coordinate with mobile technicians, parts procurement, and operations staff to schedule and prioritize jobs.
- Update customers on job status, delays, and completed work.
- Review technician notes and finalize invoices with accurate labor, parts, and additional charges.
- Maintain accurate records in our management system (QuickBooks and internal tools).
- Identify opportunities for additional services (upsells) while ensuring customer needs are met.
- Handle warranty claims, follow-ups, and customer concerns professionally.
- Support the broader team with administrative tasks related to fleet PM programs and storm response coordination.
Qualifications
- 3+ years of experience as a Service Writer, Service Advisor, or similar role in an automotive, diesel, heavy equipment, or fleet maintenance environment (preferred).
- Strong knowledge of diesel engines, hydraulics, and fleet maintenance terminology.
- Excellent written and verbal communication skills with a professional, solutions-oriented demeanor.
- Proficiency with computer systems, scheduling software, and basic Microsoft Office/QuickBooks.
- Ability to multitask in a fast-paced environment and manage multiple jobs simultaneously.
- Valid driver’s license and willingness to support occasional field coordination.
- Organized, detail-oriented, and able to work independently as part of a growing mobile service team.
