Responsibilities:
Working under the direction of the Director of Operations, the Receptionist has the following responsibilities:
Front Office
● Opens front office at 7:00 am
● Primary responsibility for answering general inquiry calls to ICS
● Responsible for ensuring that the receptionist's voicemail is checked continually and messages are conveyed on time
● Primary responsibility for greeting and assisting visitors[1] [2] via Raptor or other software, including monitoring the entrance and exit of all visitors
● Receive UPS, USPS, FedEx, etc.
● Sort mail daily
● Maintain and archive front office forms
● Attach postage to envelopes as needed for school-related mail
● Triage in-house problems via walkie-talkie and phone calls
● Receive money and tickets for PTA and other school functions
● Ensure front office and office storage spaces remain clean/organized/presentable
● Maintain all mailboxes
● Arrival and dismissal duties in the front office
Other Administrative
● Coordinate and conduct morning announcements
● Coordinates efforts with Project Go to mitigate habitual truancy
● Assist with projects, such as mailings
● Responsible for ensuring substitute teacher plans are handed out and greeting the subs in the office for their daily assignments
● Maintain substitute folders
● Input daily attendance
● Track late arrivals, absences, and early dismissals
● Disseminate daily attendance to staff
● Contact parents daily about absences and lateness
● Receive and archive parent notes regarding attendance
● Assist counselors with student attendance concerns (track ongoing attendance problems, contact parents about attendance concerns, report severe concerns to counselors, etc.)
● Execute weekly transmittal forms to the business office
Other Duties, as assigned (i.e., assistance with arrival/dismissal, etc.)
Qualifications:
● Good interpersonal and phone skills
● High School Diploma/GED required
● Ability to multitask
● Proven willingness and ability to collaborate with a diverse community of colleagues, parents/guardians, and community members.
● Spanish-speaking is a plus
POSITION IS A 10-MONTH POSITION PAID OVER 12-MONTHS
Salary:
Salary for this position will be based on prior years of applicable experience. Salary range for the position is $45,000 - $55,000.
