Job Title: Concierge (Part-time and PRN Positions Available)
Supervisor: Executive Director or Business Office Manager
Schedule: Every other weekend (Friday, Saturday, and Sunday) with the potential to pick up additional days
Job Summary
The Concierge staff member is responsible for overseeing the reception desk, assisting residents, guests, and staff, and ensuring smooth operations in a community setting. They handle a variety of tasks including clerical duties, answering phones, monitoring alarms, and providing assistance to residents, all while maintaining a professional and friendly environment.
Key Responsibilities
- Staff the reception desk during assigned periods and ensure coverage during breaks and lunches.
- Greet visitors, residents, and guests in a professional and friendly manner.
- Assist with or direct residents, guests, and staff to appropriate resources or personnel.
- Maintain logs for residents, guests, and daily communications.
- Monitor alarms, call systems, and exit alarms, responding quickly to emergencies.
- Coordinate with staff when a resident is leaving or requires assistance.
- Maintain cleanliness and safety of the workspace and lobby.
- Perform clerical duties, including mail sorting and inventory control for office supplies.
- Prepare refreshments for residents, assist in meal counts, and handle related tasks in dining areas.
- Answer phones and monitor faxes, ensuring messages are directed to the appropriate person.
- Perform routine maintenance when necessary or notify the Maintenance Department for major issues.
- Ensure confidentiality of all business operations and resident-related information.
Education & Experience
- Minimum Education: High school diploma or equivalent.
- Experience: Customer service experience and familiarity with multi-line phone systems preferred. Basic knowledge of office software applications is beneficial.
Skills & Requirements
- Must be at least 18 years of age.
- Ability to work independently with minimal supervision while maintaining high performance and customer service.
- Strong communication skills (verbal and written) in English.
- Ability to work well within a team and maintain a positive work environment.
- Organizational skills and ability to problem-solve effectively.
- Excellent customer service and public relations skills.
- Must be able to meet department deadlines and adhere to company policies.
- Capable of moving around the community for security checks and resident assistance as needed.
- Familiarity with office equipment and software (e.g., multi-line phones, fax machines).
- Ability to handle emergency situations calmly and efficiently.

- Maintain professional appearance and adhere to dress code.
- Follow company policies and procedures at all times.
- Maintain confidentiality of personal and business-related information.
- Willingness to attend additional training and certification courses as needed (e.g., First Aid).
