Operations Coordinator
Full Time, Exempt, Travel up to 10%
Location: Bethlehem, PA (Onsite 5 days per week)
Position Description
Merit Controls is seeking a detail-oriented Operations Coordinator to support our Supply Chain and Operations team in Bethlehem, PA. In this role, you'll play a critical part in coordinating project setup and execution by managing NetSuite project creation, scheduling, budgets, bills of material (BOMs), sales orders, work orders, and Factory Acceptance Test (FAT) activities. You'll work closely with Project Management, Production, Purchasing, Finance, Engineering, and other cross-functional teams to ensure projects are accurately set up and progress efficiently from contract award through shipment.
The ideal candidate is highly organized, thrives in a fast-paced manufacturing environment, and enjoys collaborating across departments to keep projects moving. Experience with ERP systems, strong attention to detail, and the ability to manage multiple priorities are essential for success in this role. Reporting to the Sr Director of Manufacturing and Supply Chain, you'll have the opportunity to contribute to continuous process improvements while supporting the successful delivery of customer projects.
Key Responsibilities
NetSuite Project Setup and Administration:
- Create new projects in NetSuite ERP in alignment with awarded contracts and internal handoff requirements.
- Build initial project schedules in NetSuite based on available capacity and corporate requirements, ensuring milestones, dates, and dependencies are current and accurate.
- Ensure all project metadata in NetSuite is complete, accurate, and standardized across projects.
- Transition NetSuite project and schedule ownership to assigned Project Managers.
- Audit project data for completeness and accuracy and proactively resolve discrepancies.
Sales Orders and Budget Administration:
- Upload project budgets and sales orders in NetSuite for awarded projects in accordance with internal processes and contract requirements.
- Verify transaction accuracy, including quantities, descriptions, timing, and project alignment.
- Coordinate with project, purchasing, and production teams to ensure system transactions support execution requirements.
Bill of Material and Work Order Management:
- Coordinate review of BOMs with subject matter experts to confirm technical and commercial accuracy.
- Upload project BOMs into NetSuite accurately and in a timely manner.
- Resolve BOM issues, missing items, and inconsistencies with Business Development, Applications Engineering, Purchasing, and Scrum Teams.
- Generate work orders for cabinet assembly and other internal production activities.
- Support controlled revisions and updates to BOMs throughout the project lifecycle.
Factory Acceptance Test (FAT) Coordination:
- Coordinate internal activities required to prepare for and execute Factory Acceptance Tests.
- Align cross-functional teams, schedules, documentation, material readiness, and internal deliverables for FAT events.
- Track FAT readiness milestones and communicate status, risks, and action items to stakeholders.
- Ensure pre-FAT and post-FAT follow-up items are documented and transitioned to appropriate teams for closure.
- Escalate risks, delays, or data issues that could impact project execution or reporting accuracy.
Cross-Functional Coordination and Continuous Improvement:
- Serve as a coordination point between Scrum Teams, Production, Purchasing, and Finance throughout the FAT process.
- Support internal handoffs to ensure projects move efficiently from IFC through shipment.
- Promote consistency, discipline, and process adherence across project setup and operational workflows.
- Contribute to continuous improvement of NetSuite processes, FAT readiness processes, reporting, and project coordination methods.
- Complete additional duties and responsibilities as assigned.
Position Requirements
Education:
- Associate's or Bachelor's degree in Business, Operations, Supply Chain Management, Project Management, Engineering Technology, or a related field.
Experience:
- Minimum of 3 years of experience in operations coordination, project coordination, production planning, manufacturing operations, or a related field.
- Experience working within ERP systems, preferably NetSuite.
- Experience supporting manufacturing, supply chain, or project execution environments.
Skills/Competencies
Technical:
- Strong understanding of manufacturing processes and production workflows.
- Proficiency with ERP systems, preferably NetSuite.
- Advanced Microsoft Excel skills.
- Understanding of lean manufacturing principles and inventory control techniques.
- Ability to interpret technical drawings, specifications, and bills of material (BOMs).
- Familiarity with ISO 9001 standards and quality assurance practices.
