Job Overview:
As a receptionist, you will be the face of first impressions for our firm by creating a warm and welcoming atmosphere for clients, visitors, and callers. As part of our staff, you will form a critical part of our team, by handling the front desk operations, providing administrative support, and assisting with intake. Primary Responsibilities:
- Greet and direct clients, visitors, and vendors with a friendly and professional demeanor.
- Answer, screen, and direct phone calls in a timely and courteous manner.
- Manage scheduling of client appointments, meetings, and conference room bookings.
- Assist with intake processes, including gathering initial client information and documentation.
- Maintain office organization, including managing office supplies and keeping all common areas including conference room and kitchen tidy and presentable.
- Assist with client intake forms and case management system data entry.
- Manage incoming and outgoing mail, packages, and deliveries
- Prepare correspondence, documents, and other materials as requested.
- Perform general administrative tasks, including filing, photocopying, and scanning.
- Ensure that all visitors and clients are comfortable and have a positive experience during their interactions with the firm.
Qualifications:
- Bilingual in Spanish required.
- 2+ years of experience as receptionist or front desk attendant answering multi-line system reequired.
- High school diploma or equivalent required, associates's degree preferred
- Experience in sales or legal intake is highly desirable.
- Excellent verbal and written communication skills with a professional and polite phone manner.
- Ability to multitask and handle a volume of calls and visitors.
- Strong organizational skills with the ability to manage competing priorities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable using office equipment (phones, copiers, etc.).
- Friendly, professional, and approachable attitude with a commitment to client satisfaction.
- A team player who is willing to assist with a variety of tasks to support the firm’s operations.
