About the Role:
Reporting to the Senior Human Resources Manager, the Human Resources Assistant provides administrative and operational support to the Human Resources Department while ensuring the accuracy, integrity, and efficiency of HR processes. This position is responsible for maintaining employee records, supporting onboarding activities, coordinating HR administrative functions, and assisting with compliance, employee engagement, and HR operations.
The Human Resources Assistant serves as the first point of contact for many employee inquiries and plays a vital role in delivering exceptional customer service while supporting Human Resources initiatives. This position partners closely with the HR Team to ensure efficient and consistent HR service delivery.
Responsibilities:
- Provide administrative support to the Human Resources Department.
- Maintain accurate and confidential employee personnel files, records, and documentation.
- Create, organize, and maintain new hire personnel files and electronic records.
- Process employment verification requests and employment-related documentation.
- Maintain HR filing systems in accordance with record retention requirements.
- Assist with employment status changes and personnel action documentation.
- Maintain departmental calendars, meeting schedules, and administrative records.
- Support HR projects and special initiatives as assigned.
- Assist with the onboarding process by preparing new hire packets, onboarding materials, and orientation supplies.
- Coordinate background checks and pre-employment documentation under the direction of the HR Generalist.
- Prepare onboarding kits, employee badges, and orientation materials.
- Create employee IDs, coordinate employee photographs and upload staff photos into Paycom.
- Assist with orientation day logistics, scheduling, and administrative support.
- Coordinate onboarding communications with new hires as assigned.
- Maintain onboarding inventory, including welcome materials, uniforms, name badges, and supplies.
- Responsible for HR mail distribution
- Maintain employee records within the HRIS.
- Process employee profile updates, organizational changes, and system access requests.
- Assist employees with HRIS access, password resets, and general system support.
- Support payroll administration by ensuring employee information is current and accurate.
- Conduct routine audits of personnel files and HR documentation to ensure completeness and compliance.
- Monitor missing employment documentation and follow up with employees and managers.
- Support HR compliance initiatives and audit preparation.
- Ensure employee records comply with organizational policies and regulatory requirements.
- Respond to routine employee inquiries regarding HR policies, onboarding, benefits, payroll support, HRIS access, and employment documentation.
- Route complex inquiries to the appropriate HR team member.
- Provide excellent customer service to employees, applicants, and managers.
- Support employee engagement and recognition initiatives.
- Support development of HR content for internal communications and employee newsletters.
- Assist with departmental metrics, trackers, and reporting.
- Support implementation of HR initiatives and continuous process improvement efforts.
- Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
- Maintains the integrity and confidentiality of human resource files and records.
- Maintains accurate and up-to-date human resource files, records, and documentation.
- Provide support to the HR Generalist.
- Support the administration of performance reviews, employee feedback processes, and HR projects.
- Handle confidential and sensitive information with discretion and professionalism.
- Handles special projects as assigned.
Qualifications:
Education:
High school diploma or equivalent.
Experience:
3 years’ experience as an HR Assistant or related position required.
Related Skills/Knowledge
- Working knowledge of HR functions and best practices.
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Works well under pressure and meets tight deadlines.
- Strong decision-making and problem-solving skills.
- Proficient with Microsoft Office Suite or related software.
- Proficient with or the ability to quickly learn human resource information system (HRIS), and similar computer applications.
Pay range and compensation package:
Pay: $25-$30 per hour
