The Administrator will be responsible for supporting the day-to-day back office operations of the business. This role will help keep internal processes organized, accurate, and running smoothly across payroll, invoice management, employee records, and general administrative support.
The Administrator will be in charge of coordinating payroll, ensuring employee hours, wages, tips, deductions, and related payroll information are accurately tracked and submitted on time. They will also provide back office support by maintaining records, organizing documents, assisting with compliance paperwork, and helping management with operational tasks as needed.
This role will also oversee invoice management, including reviewing incoming invoices, tracking payment status, organizing vendor records, and ensuring bills are processed accurately and on schedule. The Administrator will work closely with ownership, managers, employees, vendors, and accountants to ensure administrative and financial workflows are handled professionally and efficiently.
This position offers flexibility in both working hours and location. While certain tasks may require timely completion or occasional coordination with the business, the role can generally be performed on a flexible schedule and may be completed remotely or from a location that best supports the work.
Key Responsibilities
- Manage payroll preparation, including employee hours, wages, tips, PTO, sick time, and payroll records.
- Coordinate with payroll providers, accountants, and management to ensure payroll is submitted accurately and on time.
- Provide general back office support, including document organization, record keeping, compliance support, and administrative coordination.
- Manage invoices from vendors, contractors, and service providers.
- Track invoice due dates, payment status, and supporting documentation.
- Maintain organized records for payroll, invoices, employee files, vendor accounts, and business operations.
- Assist management with scheduling, reporting, filing, and other administrative tasks.
- Communicate with employees, vendors, and outside service providers in a professional and timely manner.
- Help improve internal processes and ensure business records remain accurate and up to date.
Work Arrangement
This role offers a flexible schedule in terms of both hours and location. The Administrator may complete most work remotely or from a flexible location, provided that payroll deadlines, invoice processing timelines, and business needs are met.
