Position Summary
The Facilities Director is responsible for developing and leading Solhem's portfolio-wide maintenance, facilities, and capital improvement strategy. This role oversees maintenance operations across all communities, ensuring assets are maintained to Class A standards while driving resident satisfaction, team performance, risk management, and financial results.
Reporting to the VP of Property Management, the Facilities Director serves as the company's subject matter expert on building systems, preventative maintenance, vendor management, capital planning, and operational excellence.
This is a highly visible leadership role responsible for establishing scalable maintenance systems and supporting Solhem's continued growth.

Schedule: Full-time, typically 9:00am-5:00pm Monday-Friday, some weekend / evening work
Essential Responsibilities
- Develop and implement portfolio-wide maintenance standards, policies, and operating procedures.
- Lead, coach, and develop Maintenance Supervisors and maintenance teams across all properties.
- Create a culture of accountability, responsiveness, professionalism, and resident service.
- Establish staffing models, succession plans, and training programs for maintenance personnel.
- Serve as a portfolio-wide maintenance resource and provide hands-on operational support during staffing shortages, emergency situations, large-scale projects, property transitions, and other periods of elevated maintenance demand.
- Assist on-site teams with project planning, vendor coordination, and execution of complex maintenance initiatives that exceed routine property-level capabilities.
- Evaluate maintenance staffing levels across the portfolio and deploy resources to ensure efficient coverage and operational continuity including On Call scheduling and accountability.
- Design and oversee preventative maintenance programs for all major building systems and individual units.
- Ensure consistent execution of inspections, preventative maintenance schedules, and compliance requirements.
- Identify opportunities to extend asset life and reduce reactive maintenance costs.
- Monitor property conditions and establish long-term asset preservation plans.
- Partner with ownership and operations leaders to develop annual capital improvement plans.
- Manage major building projects including:
- HVAC replacements
- Roofing projects
- Parking structures
- Unit renovation programs
- Amenity upgrades
- Building system replacements
- Oversee project budgets, schedules, contractor performance, and quality control.
- Lead procurement and vendor selection for major capital improvement projects, including development of scopes of work, bid solicitation, contractor evaluation, and recommendation of award.
- Develop standardized project specifications and bidding processes to ensure consistency, quality, and competitive pricing across the portfolio.
- Provide project oversight and field support during major renovations, asset preservation projects, emergency repairs, and property improvement initiatives.
- Develop strategic vendor relationships across the portfolio.
- Negotiate contracts and service agreements.
- Establish service-level expectations and performance standards.
- Identify cost-saving opportunities while maintaining service quality.
- Conduct regular vendor reviews and competitive bidding processes.
- Establish portfolio-wide purchasing programs and negotiated pricing agreements for recurring services, supplies, and maintenance contracts.
- Leverage portfolio purchasing power to secure favorable pricing, service levels, warranties, and contract terms for ownership groups.
- Create and maintain approved vendor lists and preferred vendor programs to ensure consistent service quality and cost control.
- Conduct annual reviews and competitive bidding of recurring contracts, including landscaping, snow removal, waste management, pest control, elevator service, fire/life safety inspections, HVAC maintenance, janitorial services, and other portfolio-wide agreements.
- Track vendor performance, contract compliance, and realized cost savings across the portfolio.
- Analyze maintenance KPIs and operational metrics.
- Improve service request completion times, preventative maintenance completion rates, turn performance, and resident satisfaction.
- Drive consistency across communities while identifying operational efficiencies.
- Partner with Property Management leaders to support leasing, retention, and resident experience goals.
- Standardize maintenance materials, equipment, tools, and inventory practices across the portfolio to improve efficiency and reduce costs.
- Identify opportunities to consolidate vendors, services, and maintenance programs to create operational efficiencies and economies of scale.
- Support new property acquisitions, management transitions, and lease-up communities by establishing maintenance operations, vendor relationships, and preventative maintenance programs.
- Ensure compliance with applicable building codes, safety regulations, OSHA requirements, and company policies.
- Lead emergency preparedness planning and response protocols.
- Minimize operational risk through proactive maintenance and facility inspections.
- Support insurance claims, property damage investigations, and risk mitigation efforts.
- Develop and manage maintenance-related operating and capital budgets.
- Monitor maintenance spending and vendor costs.
- Evaluate ROI on capital investments and operational initiatives.
- Solicit up to 3 quotes for ownership Expense Approval Forms.
- Support annual budgeting and forecasting processes.
- Identify and implement portfolio-wide cost containment initiatives and purchasing efficiencies that reduce operating expenses without compromising resident experience or asset quality.
- Develop annual maintenance procurement strategies and contract renewal schedules to maximize purchasing leverage and budget predictability.
- Monitor capital project bidding activity and provide recommendations to ownership and operations leadership regarding contractor selection and project budgeting.
Qualifications
- 7+ years of multifamily maintenance or facilities leadership experience.
- 3+ years leading multiple properties and maintenance teams.
- Strong knowledge of:
- HVAC systems
- Plumbing systems
- Electrical systems
- Building automation and mechanical systems
- Preventative maintenance programs
- Experience managing vendor relationships and service contracts.
- Proven success developing teams and leading through influence.
- Strong budgeting, project management, and organizational skills.
- Valid driver's license and ability to travel regularly throughout the Twin Cities.
- Experience overseeing Class A multifamily communities.
- Experience managing portfolios of 2,000+ units.
- EPA Universal Certification.
- CPO Certification.
- CAMT, CAPS, CPM, or related industry certifications.
- Experience leading large-scale capital improvement projects.
Pay: $105,000.00 - $115,000.00 per year
