Position Summary
We are seeking a detail-oriented and organized Bookkeeper / Office Administrator to support the daily financial and administrative operations of our growing millwork shop. This role is responsible for maintaining accurate financial records, managing accounts receivable, following up on outstanding payments, assisting with payroll support, and handling general office administration.
The ideal candidate is proactive, professional, comfortable working independently, and experienced with QuickBooks.
Responsibilities
Accounting & Bookkeeping
- Manage day-to-day bookkeeping using QuickBooks
- Record and reconcile bank and credit card transactions
- Maintain accurate financial records and supporting documentation
- Assist with month-end and year-end closing processes
- Coordinate with outside accountant and payroll provider as needed
- Prepare financial reports and summaries for management
Accounts Receivable
- Generate and distribute customer invoices
- Track outstanding balances and aging reports
- Follow up with customers regarding overdue payments
- Process incoming payments and maintain records
- Communicate professionally with clients regarding billing matters
Administrative Support
- Maintain organized digital and physical filing systems
- Assist with office correspondence and document management
- Support project managers and ownership with administrative tasks
- Coordinate office supplies and general office operations
- Assist with employee onboarding paperwork and HR administration
Qualifications
- 3+ years of bookkeeping or accounting experience
- Strong QuickBooks experience required
- Proficiency with Microsoft Office, especially Excel
- Excellent organizational and communication skills
- Ability to manage multiple priorities and meet deadlines
- Experience in construction, manufacturing, millwork, or related industries is a plus
