Receptionist Responsibilities
- Greet visitors warmly and direct them appropriately, ensuring a professional and friendly atmosphere at all times
- Manage multi-line phone systems with professionalism, answering inquiries promptly and routing calls efficiently
- Maintain the front desk area, ensuring it is tidy, welcoming, and well-stocked with necessary supplies
- Handle data entry tasks such as filing, record keeping, and updating databases using Microsoft Office, Google Workspace, and other office management tools
- Assist with calendar management and appointment scheduling for staff and clients, utilizing calendar software to coordinate meetings effectively
- Support administrative tasks including proofreading documents, managing correspondence, and performing clerical duties such as photocopying and filing
- Provide customer support by addressing inquiries accurately, offering information about services or appointments, and ensuring excellent customer service standards are met
Receptionist Skills
- Proven experience in office management or as a front desk receptionist with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and data entry software
- Familiarity with multi-line phone systems and phone etiquette to handle calls professionally
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong clerical experience including filing, proofreading, and document management
- Knowledge of QuickBooks or bookkeeping experience is a plus for handling basic financial transactions
- Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment
- Previous experience in medical or dental receptionist roles is advantageous but not required; a background in customer service or administrative support is preferred
