Under the supervision of the Director, Operations, the Mailroom Manager is responsible for overseeing the daily operations of the Mailroom and supervising Mailroom staff. Responsibilities include, but are not limited to, the pickup, sorting, and delivery of incoming postal mail to internal departments; weighing, processing, sorting, and delivery of outgoing mail to the United States Postal Service (USPS); receiving, recording, and distributing courier packages; and preparing outgoing shipments, including packaging and shipping labels. This role also serves as a resource to departments by providing guidance on the most cost-effective shipping methods and delivery schedules.
- Manage the day-to-day operations of the Mailroom, including daily mail pickup from the Post Office, sorting, internal distribution, and preparation of outgoing mail.
- Lead and direct Mailroom staff by planning, scheduling, organizing, and assigning work activities; providing training and coaching; and recommending applicants for hire, discipline, retention, or termination.
- Receive incoming courier packages, maintain accurate receipt and delivery records, and ensure timely distribution. Prepare outgoing packages for shipment and select the most economical shipping methods that meet required delivery timelines.
- Serve as a subject matter resource on postal charges, policies, procedures, and shipping-related questions for internal customers.
- Oversee routine preventive maintenance of Mailroom equipment and coordinate repair services as needed to ensure operational efficiency.
- Maintain inventory levels of Mailroom and shipping supplies, including stationery, envelopes, boxes, and related materials.
- Ensure staff consistently adhere to all safety, security, and operational procedures associated with Mailroom activities.
- Prepare and distribute weekly and monthly operational reports for management.
- Coordinate the handling of suspicious packages in partnership with ALSAC Security and train Mailroom staff on established suspicious package procedures and protocols.
- Knowledge of postal regulations, USPS requirements, and standard courier services, including delivery schedules, packaging requirements, insurance options, and related shipping procedures.
- Ability to communicate effectively and professionally with employees and leaders at all organizational levels.
- Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
- Working knowledge of USPS operations and commercial courier processes.
- High school diploma or equivalent required.
- Minimum of five (5) years of supervisory or lead experience in a Mailroom environment, including responsibility for planning, organizing, and directing the work of others.
Work Location: This position is based at the ALSAC National Executive Office in Memphis, Tennessee. This is an onsite role that requires a regular presence in the office five (5) days per week.
