The Role
We're looking for a Fitness Studio Experience Coordinator to join our West Hollywood team. This is not just a front desk job. You are the heartbeat of the studio, the first face our clients see. You are the person who keeps our space immaculate & the team member who takes ownership of every shift without being asked twice.
You will be responsible for delivering a five-star client experience while maintaining the cleanliness, organization, and operational flow of the studio to our luxury standard. The right person for this role takes pride in both because to us, hospitality and facility care are equally non-negotiable.
Duties
Client Experience & Front Desk
- Greet every member + guest warmly, creating a welcoming & elevated arrival experience consistent with our luxury brand standard
- Manage check-ins, class registrations, membership inquiries & account updates using our studio management software (MarianaTek + NetGym — training provided)
- Handle client questions, feedback, and concerns with professionalism, empathy, and a solutions-first mindset
- Anticipate client needs before they're voiced and go above and beyond to make every visit feel personal + intentional
- Support class scheduling and assist with event coordination as needed
- Maintain accurate membership records, attendance logs, and billing information with attention to detail
- Communicate clearly with management regarding any client issues, incidents, or follow-up items at the end of every shift
Studio Facility & Operations
- Execute thorough between-class cleaning and full room resets after every session — this is a non-negotiable part of the role
- Maintain all areas of the studio to a consistent luxury standard throughout the entire shift: Reformer Room, bathrooms, showers, lobby, hallways, and cubbies.
- Manage laundry, retail organization, retail fridge restocking, and supply upkeep during downtime periods
- Complete all shift close tasks including a full facility walkthrough and verified close report submitted at end of shift
- Flag and escalate any equipment, maintenance, or facility issues to management promptly
- Receive and log deliveries and ensure supply areas remain organized and stocked
Team & Accountability
- Arrive on time, prepared, and ready to contribute from the first minute of your shift
- Collaborate with fellow staff, instructors & management to keep daily operations seamless and communicative
- Take initiative during slower periods — if something needs to be done, do it without being asked
- Uphold Heated Room's brand standards in every client interaction, every cleaned surface, and every task completed
- Participate in team check-ins and respond to management communication in a timely and professional manner
Requirements
- Customer-facing hospitality experience is required — hotel, spa, boutique fitness, or high-end retail backgrounds are all relevant
- Background in fitness or wellness is strongly preferred; experience at a boutique studio (Pilates, yoga, cycling, barre) is a significant advantage
- Genuine pride in maintaining a clean, organized, and beautiful space — not just when reminded, but as a personal standard
- Strong organizational skills with the ability to manage multiple priorities during a fast-paced shift
- Proficiency with Google Workspace (Gmail, Google Calendar, Google Drive) for internal communication and scheduling
- Comfortable learning and operating studio management software — NetGym experience is a plus but not required
- Excellent verbal communication skills with clients, teammates, and management
- Demonstrated reliability, time management, and the ability to follow through consistently

Schedule
- West Hollywood location
- AM & PM shifts available
- Weekend availability is required — non-negotiable
- Scheduling is collaborative but consistency and reliability are expected
Compensation
- Starting at $20/hour
