The Accounts Payable Clerk supports the financial operations of the organization by processing invoices, verifying documentation, maintaining vendor records, and ensuring timely, accurate payments. This role is detail-driven, deadline-oriented, and essential to maintaining strong internal controls and positive vendor relationships.
- Receive, date-stamp, review, and enter invoices into the accounting system; verify accuracy, coding, and required documentation.
- Separate invoices by purchase order and direct expense.
- Flag discrepancies and coordinate resolution with department leaders.
- Route invoices for approval; track outstanding approvals; follow up to ensure timely processing.
- Respond to vendor inquiries, request missing documentation, and resolve payment issues professionally.
- Prepare and issue weekly vendor payments, including ACH and check runs; verify payment accuracy and supporting documents.
- Ensure vendor checks are mailed out, and employee reimbursements are placed in their director’s internal mailbox timely after Accounting Director approval.
- Maintain organized files for invoices, approvals, and payment records in accordance with audit standards.
- Collect W-9’s, verify tax information, and assist with new vendor onboarding.
- Ensure all AP activities follow internal controls, contract requirements, and organizational policies.
- Review reimbursement requests for accuracy, receipts, and policy alignment.
- Count petty cash/ registers in cafeteria, fiscal services, RHC, specialty clinic and business office quarterly.
- Review vendor statements and request missing invoices.
- Void/re-issue staled dates checks.
- Issue refunds check to patients and insurers.
- Resolves accounts payable related inquiries.
- Performs month end A/P closing.
Back up Payroll Duties:
- All backup Payroll performed by the Accounting Clerk must be approved by the CFO.
- Maintains the integrity and confidentiality of employee information related to payroll and personal details.
- Adherent to privacy laws and general data protection regulations that govern the handling of employee information.
- Process payroll in the absence of the payroll clerk, ensuring timely and accurate payment to employees.
- Maintain employee records, including time sheets, benefits, and deductions.
- Calculate and update payroll information, including bonuses, overtime and deductions.
- Respond to employee inquiries regarding payroll, timesheets and tax forms.

- High school diploma or equivalent; associate degree in accounting preferred.
- 1-2 years of experience in accounts payable or general accounting.
- Experience in healthcare, nonprofit, or government accounting preferred.
- Proficiency with accounting software and Microsoft Office (Excel, Outlook)
- Strong attention to details, accuracy, organization.
- Professional communication skills with vendors and internal departments.
