Description:
Under general supervision, performs all bookkeeping functions in the administrative business office, as well as limited human resource and social service duties.
Essential Functions:
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Utilizing Quickbooks accounting program, performs accounting functions including accounts payable and receivable for Masten Towers;
- Works collaboratively with other departments in accounting tasks such as tenant closing accounts (Leasing);
- Assists the company’s CPA firm in obtaining financial information for monthly and annual accounting services;
- Communicates with vendors regarding invoice discrepancies, late/finance charges;
- Prepares and makes all bank deposits for Masten Towers;
- Reconciles all bank accounts at month end;
- Prepares accounting reports for Administrator;
- Assigns purchase orders to departments once approved by Administrator;
- Maintains and processes Reserve for Replacement documentation;
- Maintains organized and accurate files for accounts payable and receivable;
- Maintains the security and confidentiality of all financial information and materials;
- Assists office personnel in answering all incoming telephone calls in a professional manner;
- May assist with administrative duties and furnish support to Administrator, administrative staff;
- Provides effective and courteous service to all tenants, personnel, visitors, guests and vendors;
- Attends in-service training workshops and meetings as required;
- Promotes and protects the rights and confidentiality of each tenant;
- Performs other related essential duties as required.

Requirements:
Minimum Training and Experience:
High School diploma or equivalent; some college courses in accounting or business administration, office or secretarial skills; computer science or a related field desirable; 1 to 3 years of work experience in office functions including use of office equipment and computers, and performing bookkeeping functions; or any equivalent combination of training and experience which provides the required skills, knowledge and abilities. Attention to detail is essential.

Physical Requirements:

Ability to operate a variety of automated office machines including a postage meter, calculator, copier, personal computer, typewriter and alarm system;

Ability to coordinate eyes, hands and fingers in performing semi-skilled tasks including typing, dialing, etc.;

Ability to input data accurately as instructed;

Ability to exert light physical effort in sedentary to light work involving sitting most of the time, but may involve walking or standing for brief periods of time.

Ability to add, subtract, multiply and divide decimals, ratio percentages and fractions, and determine time and weight.
