Maintenance and Grounds Manager
Duties and Responsibilities
Position Summary
The Maintenance and Grounds Manager is responsible for the leadership, supervision, and daily management of the Association's Maintenance/Grounds/Pools/Irrigation Department. The primary responsibility of this position is to oversee all maintenance and groundskeeping personnel, ensuring the efficient operation, maintenance, repair, and appearance of the Association's buildings, facilities, equipment, infrastructure, landscaped areas, and other common elements.
The Maintenance and Grounds Manager reports directly to the General Manager and works closely with the Assistant General Manager to coordinate daily operations, maintenance schedules, departmental priorities, and staffing. This position provides operational support for maintenance-related projects and prepares Association facilities for approved capital improvement projects but is not responsible for managing capital improvement projects.
Primary Duties and Responsibilities
- Plan, organize, direct, and supervise the daily operations of the Maintenance and Grounds/Pools & Irrigation Departments.
- Recruit, train, supervise, coach, schedule, and evaluate maintenance technicians, groundskeepers, irrigation personnel, custodial staff, and other department employees.
- Establish daily, weekly, monthly, and seasonal work schedules based on operational priorities and departmental needs.
- Assign, prioritize, monitor, and manage preventive and corrective maintenance work orders using the Association's web-based maintenance management software. Ensure work orders are completed promptly, accurately documented, and closed upon completion.
- Review work order status regularly, follow up on outstanding requests, and generate reports to monitor departmental productivity, equipment performance, and maintenance trends.
- Conduct routine inspections of buildings, recreational facilities, pools, parking areas, sidewalks, roadways, lighting systems, irrigation systems, landscaped areas, and all other common elements to identify maintenance and groundskeeping needs.
- Inspect completed work to ensure quality, accuracy, safety, and compliance with Association standards and established procedures.
- Oversee preventive maintenance programs for buildings, equipment, vehicles, pools, irrigation systems, roadways, parking areas, landscaping, pools, irrigation and common area facilities.
- Coordinate staffing, equipment, materials, and resources to maximize productivity and maintain high service standards.
- Supervise and coordinate outside contractors performing maintenance, landscaping, arborist, irrigation, or other facility-related work, ensuring compliance with Association requirements and minimizing disruption to residents and guests.
- Maintain adequate inventories of maintenance supplies, groundskeeping materials, tools, equipment, replacement parts, and other departmental resources.
- Ensure all employees comply with Association policies, OSHA regulations, safety procedures, and safe operating practices.
- Promote a safe workplace by conducting regular safety meetings, identifying hazards, and implementing corrective actions.
- Maintain accurate records of maintenance activities, inspections, equipment maintenance, inventories, employee schedules, and departmental documentation.
- Assist in preparing and monitoring the departmental operating budget, control expenditures, and identify maintenance priorities and future replacement needs.
- Communicate regularly with the General Manager and Assistant General Manager regarding staffing, work priorities, operational issues, maintenance concerns, and property conditions.
- Provide operational support for approved capital improvement projects by coordinating staff, preparing work areas, providing site access, and assisting contractors as directed by the General Manager or Assistant General Manager.
- Respond to maintenance emergencies and coordinate emergency repairs and after-hours response as necessary.
- Assist with storm preparation, emergency response, disaster recovery, and other special projects as assigned.
- Foster a professional, productive, customer-service-oriented work environment while maintaining the highest standards for the appearance, safety, and functionality of Association property.
- Perform other duties as assigned by the General Manager that are consistent with the responsibilities of the position.
Management Responsibilities
The Maintenance and Grounds Manager is responsible for:
- Direct supervision of all Maintenance, Pools and Grounds Department personnel.
- Assigning, prioritizing, and monitoring employee workloads.
- Conducting employee performance evaluations and providing coaching and corrective action when necessary.
- Coordinating departmental schedules, staffing levels, and vacation requests.
- Ensuring department compliance with all Association policies, safety regulations, and operational procedures.
- Ensure all department employees understand, comply with, and consistently adhere to the Association's Employee Handbook, personnel policies, workplace rules, and standards of conduct. Enforce policies fairly and consistently, address performance or disciplinary issues promptly, and promote accountability, professionalism, and respect in the workplace.
- Maintaining effective communication and coordination with other Association departments to support overall resort operations.
