We are looking for an Office manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Office manager duties and responsibilities include managing the biologics in the office, coordinating human resources, knowledge of each position and role in the office, ability to connect with patients and staff effectively and more. A successful Office manager should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to multitask and handle administrative duties. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.

Responsibilities
- Serve as the point person for office manager duties including: maintenance, mailing, supplies, equipment, bills, errands, shopping
- Schedule meetings and appointments
- Organize and maintain infusion therapies in the office.
- Maintain the office condition and arrange necessary repairs
- Update and maintain office policies as necessary
- Organize office operations and procedures
- Coordinate with IT department on all office equipment
- Work on daily and monthly collections for practice.
- Manage contract and price negotiations with office vendors, service providers and office lease
- Ensure accurate and timely reporting
- Provide general support to patients.
- Assist in the onboarding process for new hires
- Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
- Liaise with facility management vendors, including cleaning, catering and security services
- Plan in-house or off-site activities, like parties, celebrations and conferences
- Work on implementing social media and hands on marketing strategies.
- Biologic medication coordination.
- Implement policies related to human resources management such as hiring, training, performance evaluations, and staff development
Skills
- Proven experience as an Office manager, Front office manager or Administrative assistant
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel in particular)
- Proficiency in EMR/EHR systems such as eClinicalWorks familiarity
- Hands on experience with office machines (e.g. fax machines and printers)
- Familiarity with email scheduling tools
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- Manage all aspects of clinic operations, including scheduling, patient flow, and staff coordination to optimize efficiency and patient satisfaction
- Oversee medical administrative support functions such as medical records management, billing, coding, and documentation within EMR (Electronic Medical Records) systems like eClinicalWorks
- Monitor fiscal activities including budgeting, financial management, billing processes, and resource allocation to maintain financial health of the practice
- Coordinate with healthcare providers on acute care cases, managed care plans, utilization management, and insurance authorizations to ensure comprehensive patient coverage
- Proven experience in medical office management within a healthcare setting; allergy/immunology or specialty clinic experience preferred
- Strong supervisory skills with demonstrated success in managing teams in a fast-paced environment
- Knowledge of HIPAA regulations, medical terminology, medical records management, and billing practices
- Experience with fiscal management including budgeting and financial oversight
- Excellent organizational skills with the ability to multitask effectively while maintaining attention to detail
